Assessment task -2 skills test – Research Report Time management plans and tools to help improve performance and customer service

Introduction: Time management is crucial to our business success by using an effective time planner and master list we can achieve any goal we have set in our mind for successful business and improve our performance and customer service. Apart from that, time management tool that can help us improve our customer service is a calendar and a to- do list. A calendar helps us organize our schedule, appointment, meeting, and deadline. A to -do list helps us break down our tasks into manageable steps, prioritize them and check them off as we go.

Objectives To learn about time management plan, tools, and techniques. To educate staffs about smart goals models and Pomodoro technique . To learn about to- do list task appropriately. To help improve performance and customer service . To ensure the deliveries made on time.

To – do list: To do list is a plan , then we need to create a schedule . creating a time schedule is a highly effective time management tool that will help us to get more done. Scheduling our time simply means allocating time for every task that we need to compete. A to-do list helps to ensure the deliveries made on time, and help to improve performance and customer service.

A to – do list tasks are given below :- Fill the audios correctly Check software is compatible to received the audios Correctly organized audios packages delivery Enter sales into order system Proper documentation of all audios packages Check the audios are correctly filled and well functioning Ensure using technology is compatible and reliable Check audios packages in correct order and well label Confirm deliveries on appropriate timeframe Document all audios packages sent to customer Check the audios are correctly received by the customers Collect feedback from customers through emails or messages . Note: I have attached filled to do list format with student pack.

Introduction of Smart goal model: It is a well – established tool that we can use to plan and achieve our goals . While there are a number of interpretations of the acronym’s meaning, the most common one that goals should be Specific ,Measurable, Achievable, Relevant, and Time-bound .

Your objectives ,goals and action stages should all be clear and specific: Smart: You should be smart when we have plan to achieve your ambition Measurable: You should be able to see when you have achieved your aim. Attainable : The goals and objectives should be something that your team can realistically achieve in the time allotted. Relevant : The goal objectives, and tasks should align with your values and long – term aspirations. Time Based: Your plan should have a definite finish date so that you can priorities your tasks .

What is Pomodoro technique? The Pomodoro Technique is a time management method developed by Francesco Cirillo in the late 1980s. It is a structured method made up of processes, tools, principles and values to learn how to deal with time and turn it from a vicious predator to an ally to boost productivity. The Pomodoro Technique is a time management method based on 25-minute stretches of focused work broken by five-minute breaks. Longer breaks, typically 15 to 30 minutes, are taken after four consecutive work intervals .

The Pomodoro technique divides huge projects or periods of labor into smaller, more manageable time interval known as Pomodoro. Increased focus has been demonstrated to significantly increase . The amount of productive a task spent at work. It works by choosing a task to complete and then setting a timer for (usually ) 25 minutes . When the timer goes off ,we can take a 3-5 minute break from our work. Take a lengthier rest after 4 Pomodoro's, (15-30 ) minutes . Return to the lesser breaks after our long break.

Five Steps of Pomodoro Technique: 1. Step 1: Identify tasks Step 1 of the Pomodoro technique is to identify a task or a range of tasks that we need to complete. Ideally, our tasks should be short tasks. 2. Step 2: Set a timer Step 2 of the Pomodoro technique is to set a timer for 25 minutes. Do not try and do this in your head. You need something to alert you that 25 minutes is up. 3. Step 3: work on the tasks Step 3 of the Pomodoro technique is to work on your tasks. Only focus on this task so avoid any interruption or distractions. You need to be able to concentrate for this very short period of time . 4 . Step 4: take a short break Step 4 of Pomodoro technique is to take a 5- minute break when the alarm sounds. Do not be tempted to go any longer ,discipline yourself to stop when the alarm sound ,move away from what you are doing and take a break. 5. Step 5: repeat and take along break Step 5 of the Pomodoro technique is to repeat steps 2 and 3 more times, so you have complete 4 repetitions in total . You take a longer 30 - minutes break after your 4 repetitions. If all of your tasks are complete ,then take a break anyway before you move on to sometime else.

Benefits of Pomodoro Techniques : Makes tasks less daunting Improves quality and quantity of your work Prevents mental exhaustion Breaks the habit of multitasking Improves attention span and concentration Increases accountability and willpower Makes planning easier Boosts motivation

Conclusion: Time management is important no matter what we do or where we are. If we learn to manage our time properly, we will accomplish all the goals we put your mind to. Learn how to compartmentalize and manage our time for best outcomes. Effective time management is a key factor in achieving success in both business and life. By prioritizing our tasks ,creating a schedule that works for us, and eliminating distractions, we can increase our productivity, reduce stress, and achieve our goals .
