WHAT IS COMMUNICATION??

COMMUNICATION IS THE ART OF TRANSMITTING KNOWLEDGE, IDEAS, INFORMATION AND THOUGHTS FROM ONE PERSON TO ANOTHER . THE TRANSFER SHOULD BE SUCH THAT THE RECEIVER UNDERSTANDS THE MEANING AND INTENT OF THE MESSAGE AND GIVE PROPER FEEDBACK.

BARRIERS No matter how good the communication system in an organization is, unfortunately barriers can and do occur. Barriers mean all those difficulty/ obstacles/ problems/ hurdles or breakdowns which stop or interrupt the process of communication. Barrier some times become so strong that they can even make the whole process just a failure.

Identifying Barriers Communication is all about identifying and overcoming the barriers State all the barriers that you can think of that impact your day-to-day communication.

Semantic Noise This kind of hurdle is the result of using very difficult jaw breaking & tongue twisting words by the communicator/sender, which are out side the frame of reference of the receiver .

HOMOPHONES Two or more words having the same pronunciation but different meanings, or spelling . Pronunciation Spelling Meaning Eg: buy/bye/by Ice cream/ I scream

Homographs   Two or more words spelled the same but not necessarily pronounced the same and having different meanings Spelling Pronunciation Meaning Eg: Minute Second Lead

Homonyms Two words that are spelled the same and sound the same but have different meanings Spelling Pronunciation Meaning Eg: Current Well Spring

How to overcome Physiological barriers

Methods to overcome physiological barriers Sender and recipient must keep in mind each other’s retention and memory abilities Sender and recipient must have each others attention Before initiating communication, the sender and the recipient must ensure each other’s comfort Sender and recipient must ensure active listening between each other Information overload must be avoided Gender differences must be kept in mind

To improve communication with the hearing impaired… Use body language such as gestures and signs Make sure hearing aids are working properly Speak clearly in short sentences Face the individual to facilitate lip reading Write messages if necessary

To improve communication with the visually impaired… Announce your presence as you enter a room Describe events that are occurring Use a soft tone of voice Use touch when appropriate Explain sounds or noises

To improve communication with the speech impaired… They have difficulty in remembering the correct words, may not be able to pronounce certain words, and may have slurred speech The listener must be patient Allow them to try and speak Encourage them to take their time Repeat message to assure accuracy Encourage them to use gestures Provide pen and paper if they can write Use pictures with key messages

How to overcome environmental barriers

Methods to overcome semantic barriers Sender and recipient must use the same language during communication Be cautious in selecting the words Use direct, simple, easy language appropriate to the receiver at specific level Active listening Constructive feedback

Methods to overcome organizational barriers Simple and non-complex organizational structure Avoiding information overload Flexibility in meeting targets Large organizations must be divided into smaller subsets to promote effective communication Provide clear information regarding rules& regulations of the institution
