Data Backups, Archiving, Storage. Are They the Same Thing? Not Quite… The terms “ backups ” and “ archives ” are often used interchangeably, but do have different meanings Backups : a copy (or copies) of the original file is made before the original is overwritten Archives : preservation of the file Data Storage Describes what type of, where, and how hardware or software holds, deletes, backs up, organizes, and secures information. This includes keeping data in temporary or permanent storage.

Backups vs. Archiving Backups Used to take periodic snapshots of data in case the current version is destroyed or lost Backups are copies of files stored for short or near-long-term Often performed on a somewhat frequent schedule Archiving Used to preserve data for historical reference or potentially during disasters Archives are usually the final version, stored for long-term, and generally not copied over Often performed at the end of a project or during major milestones Note: It is a good idea to have multiple copies of your backups and archives, in case one copy fails.

Why Perform Backups? To limit or negate loss of data, some of which may not be reproducible Save time, money when then there is a data loss. Help prepare for disasters such as Accidental deletions Fires, natural disasters Software bugs, hardware failures Reproduce results of past procedures (if they were based on older files) Respond to data requests

Considerations How often should you do backups? Continually? Daily? Weekly? Monthly? What kind of backups should you perform? Partial: backing up only those files that have changed since the last backup Full: backing-up all files How often and what kind will depend upon what kind of data you have and how important it is What type of data to backup (personal or organisation )? Most likely, its organization data.

Where to backup data In MLW systems, there are two main areas; File Server Microsoft 365 One Drive File Server A computer/server responsible for the storage and management of data files so that other computers on the same network can access the files. enables users to share information over a network without having to physically transfer files.

File Server File Structure Our file server has four main folders namely; Operations, Projects, Public and System. Operation – Holds all departmental folders and files under operational division. Projects – Holds all projects folders and files under projects division. Public - Holds folders and files for public access within MLW. System – Holds all systems, applications and database backups. Each department or project has its folders that are mapped automatically to the users' computers. (login in File server viewing structure folders).

How does File Server works Each department or project has its folders, mapped automatically to the users computers. A user save his folders/files to the network folder mapped to his computer. These network folders are backed up daily and weekly by the IT Department. One tape backup which is kept offline away from the server. One backup hosted online within MLW local area network.
