Functions of production & operation management BY JIMMY OPOKA; Ph. D Candidate (TAU), MBA(UMI), MCIPS(UK), BBA(MUBS) Email: [email protected] Cell: +256 704 087 893

Brain Teaser! Who is production/ operation manager? What are the responsibilities of production/operation manager? By Jimmy Opoka

Functions of POM Being the component of the organization, POM is concerned with the organizational goal. Production/operation manager seeks to optimize utilization of the resources (inputs). Most functions of POM is decision making concerning the production function. By Jimmy Opoka

Functions of POM Production/operation management is a component of organization which is concerned with the creation of utility in raw materials through conversion process. As part of management, it has the following functions: Planning: Organizing: Controlling: Behavior: (activities that affect human behaviors) Models:(a system that are used as an example to follow or imitate) By Jimmy Opoka

Cont’d….. By Jimmy Opoka Functions of production operation management can be enclosed in a frame of general management function. Production & Operation managers are concerned with planning, organizing and controlling the activities that affect human behavior through models.

PLANNING Is the process of thinking about how to organize activities required to achieve a desired goal. Activities that establishes a course of action and guide future decision-making is called planning. POM defines the objectives for the POM subsystem of the organization It defines the policies, and procedures for achieving the objectives. This stage includes clarifying the role and focus of POM in the organization’s overall strategy. It involves product planning, facility designs as well as the conversion process. By Jimmy Opoka Planning Organizing Controlling Behaviour Model

ORGANIZING By Jimmy Opoka Is a systematic process of structuring (arranging according to plan), integrating (putting together parts), co-ordinating task goals, and activities to resources in order to attain set objectives. POM establish a structure of roles and the flow of information within the POM subsystem . POM determine the activities required to achieve the goals and assign authority and responsibility for carrying them out. It includes: Job design Work Measurement Project Management Planning Organizing Controlling Behaviour Model

CONTROLLING By Jimmy Opoka Activities that assure the actual performance in accordance with planned performance is called Controlling. To ensure that the plans for the POM subsystems are accomplished, the PO manager must exercise control (through direct supervision) by measuring actual outputs and comparing them to planned operations management. Controlling costs, quality, and schedules are the important functions for POM. Material Control Material requirement planning (MRP) Planning Organizing Controlling Behaviour Model

BEHAVIOUR By Jimmy Opoka Human aspect on the job is called behavior. PO managers are concerned with how their efforts to plan, organize, and control affect human behavior. They also want to know how the behavior of subordinates can affect management’s planning, organizing, and controlling actions. The behavior is affected by the leadership, motivation, communication, inter-intra personnel relationship and their attitudes. Planning Organizing Controlling Behaviour Model

MODELS By Jimmy Opoka The techniques which are used for problem solving is called Models. It plans, organizes, and controls the conversion process of inputs into output. PO manager encounter many problems and must make many decisions. S/he can simplify their difficulties using models. The models are: Aggregate planning models for examining how best to use existing capacity in short-term. Break even analysis to identify break even volumes. Linear programming: a mathematical technique for maximizing or minimizing a linear function of several variables, such as output or cost. Computer simulation for capacity utilization. Decision tree analysis for long-term capacity problem of facility expansion. Planning Organizing Controling Behaviour Controlling Model

Cont’d… POM is a part of general management and it performs P lanning , O rganizing , C ontrolling the production process by affecting human B e havior through different mathematical and quantitative M odels in decision making …….. By Jimmy Opoka

Role of Production/Operation manager The P & O manager forms a very important and defining part of the organization structure of a manufacturing company. The responsibilities of a P & O manager can be summarized as follows; Forecasting the requirements of the production in order to achieve the production target. Making most efficient utilization of the available resources for production. By Jimmy Opoka

P&O manager roles continued….. Minimizing ‘through put time’ and ‘work in process inventory’. This can be achieved by systematic production planning and also by very efficient execution of the plans. One of the most important responsibility of a P & O manager deals with reducing material handling cost, which generally is achieved by the use of efficient material handling system and also by using plant layouts which must be developed in a proper or correct way. Reducing the quality cost with the help of analysis of non conformances on periodic basis and also by following suitable actions (both corrective and preventive). By Jimmy Opoka

P & O manager roles continued….. Building team spirit among the workforce and also motivating them by means of personal involvement. This task of motivation can also be achieved by designing and implementing suitable financial incentive schemes. To device accurate methodology involving method study of manufacturing, along with the other engineering economic principles. Improving the productivity level of the workers on continuous basis by workforce’s training and by bringing into use the standards of the performance derived from work measurement studies By Jimmy Opoka
