How to create & receive delivery challan

TheParchi provides paperless, contactless and digital
mechanism for proof of delivery and record keeping
of Goods delivered, received, sold and bought.
This guide will help to understand the functionalities of SENDER-RECEIVER panel for sending & receiving delivery challans

of Goods delivered, received, sold and bought.
It completely removes hassel of paper records and 
mannual calculation error.

3. This section of Delivery Challan & Tax Invoice is 
divided into 4 diferent segment
SENDER  -RECEIVER SELLER  -BUYER

4. Check “YES” for all the features you wish to use

Register & select featuresRegister & select features
Once registered you will get options of selecting these features. As per your 
business requirements select features.

5. SENDER  -RECEIVER
Sender & Receiver
SENDER 
RECEIVER
One who sends his Goods outside his business premise for some 
job work on returnable basis, purpose of sending Goods out to another business
 or Individual is not sale. 
E.g. 1- Hotels sends there Linens to Dry cleaning unit, all sent Linens are supposed to be
returned to Hotels post the cleaning process
E.g. 2- Garment manufacturer sends unstitcheded garments for embroidery work to 
other business setup for embroidery, post embroidery products has to be returned to
Garment manufacturer.
One who receives Goods from sender and return back once the required 
process  is done.
E.g. 1- Dry Cleaning unit is Receiver in this business mode
E.g. 2- Embroidery unit is Receiver here

6. Sender & Receiver
Click on SENDER panel. 
Sender & Receiver  panel are
 interconnected.
Enter into Sender panel to start 
making delivery challans for 
Goods you dispatch to 
other party(Receiver)
Sendrer can send challan to Receiver
Receiver can send return challan 
to Sender only

7. Profle Update
Click on Profle icon
to update profle 
details
In the profle section  one unique “User code”  
is assigned to all users
Click on Add Receiver
This unique “User code” of other user will be used for
adding them as your receiver.

8. Add Receiver
If your Receiver  is also a THEPARCHI user asks for the 
User code to add  them as your Receiver
If not then add all the details like name, phone, email 
address etc of Receiver mannually  

9. Challan Series Number
After adding Receiver click on “CHALLAN SERIES NO.”
“CHALLAN SERIES NO.” is a prefx  used before challan
number starting from 001.
Enter any prefx/series number.
Select validity period of this series number, by default 
this is valid for current fnancial year.

10. Create Challan
Click on choose Receiver--Enter Goods details --Save
Click on Sender Dashboard to view challan

11. Edit or Send challan
Click on SENT CHALLAN 
From the list of all sent challans, click “select”
View: to check made challan
Modify: to change details if required
Send: to mail challan to Receiver and same will 
refect in their RECEIVER panel if they are 
using Theparchi

12. Receiver Panel
Click on Received Challans to view list of all received challans.
A Receiver can only send challan(return challan)  to Sender 
A Receiver can not add Sender
A Receiver can add “Challan Series No.” for making return challan

13. Receiver Panel
For received challan, under action click:
Accept: to give confrmation of 
 acceptance to Sender
Reject: if some correction is required in 
challan or you you wish to deny 
accpetance of Goods & Challan.
View: to check details
For Rejected Challan: Sender will receive notifcation & sender can modify and send again correct Challan.

This provided data of all sent articles & received articles with flter options like receiver 
& date. To do monthly reconcilation this feature can be used
This feature provides options of adding upto 4 more columns in challan in addition to
available columns headings. Available heading are not mandatory and  can be left 
blank if not required
For better control on records once made a challan can not be deleted.  But it can
 be moved to Deleted challan section.
To export data of sent challan in .csv format
This feature can be used to view article wise details of all sent challans
BULK CHALLANFor making one challan with multiple products or making multiple challan to multiple 
receivers.Multiple row data can be added through excel sheet & in single click one 
challan with many entries or many challans with multiple entries can be made. 

15. Receiver Panel
Additional Features
EXPORT
DETAILED VIEWTo export data of received challan in .csv format
This feature can be used to view article wise details of all received challans
AUTO-FILLWhile making return challan once clicked on input feld of articles, a dropdown of  all
received Goods details will appear. User can select these articles to make return challan.
