Self Evaluation Study This is a process which lies in periodic self-appraisal by each institution. It is required every five years following initial accreditation. As part of accreditation process, self-study, aims to improve an institutional effectiveness in achieving its stated purpose
Self Evaluation Study It indicates what an institution is doing and plans to do towards achieving the NACTVET Accreditation Standards, It begins with CEO of the institution His/her personal involvement and support is crucial to the success of the self-study.
Self Evaluation Study Self-study is an internal inventory and audit whereby external validation is done by a Regulatory Body. A good self-study is “honest, fair-minded, intelligently conducted, carefully planned, sensitive to both internal and external environments, extensively self-evaluative and diagnostic, and owned by everyone in the Institution .”
Steering Committee The Steering Committee need to be established for preparation of an extensive Self Evaluation Study report CEO need to select a person to direct self-study process
Steering Committee Members of steering committee will serve as chairs of subcommittees, Thus, select individuals recognised for their leadership, knowledge and cooperative attitudes. The size of the steering committee will vary according to the size of the institution
Steering Committee Pick a person or people with: - respect of the Institutional community; appropriate leadership and interpersonal skills; enough energy and drive to manage all aspects of the self study.
Steering Committee Should include representatives from the following: Students’ leaders Academic staff including part time Support staff Administrators Trustees and Other/volunteers
Working Plan of the Steering Committee Meetings Meetings of the Steering Committee for presentation of the Progress Reports by Sub- Committees should be scheduled at regular and realistic intervals The steering committee chair(s) should maintain a checklist of all assignments and track the progress of each subcommittee.
Establishing of Working Calendar Establish a working calendar from the date set for the team visit. The steering committee can set target dates for the completion of activities and estimate time necessary for meeting goals.
Format and Content of the Comprehensive Self-Evaluation Study Report Cover Sheet should include the name and address of the Institution, a notation that the self study is in support of an application for accreditation, or reaffirmation, and date submitted. Table of Contents should include titles of all chapters, sections and subsections with their respective page numbers.
Format and Content … Certification of the Self Study Report indicates to NACTVET of the broad participation by various constituencies of the Institution’s campus community in preparing the report of institutional self study. Abstract of the Report a summary statement not more than two typed pages. should describe briefly important educational programme and institutional developments since acceptance for candidacy or since last evaluation team visit major challenges facing the Institution, and the planning activities should also be summarized.
Format and Content … Organisation for the Self Study in narrative or chart form committees, their chairpersons and members, timetable, and the person(s) responsible for the overall direction of the self study should be included
Format and Content … Descriptive Background and Demographics concise and factual description of the Institution since the last evaluation Demographic material should include; summary data on the area served enrolment figures student and staff diversity trends and available projections
Format and Content… Organization of the Institution. Organization charts for the Institution and for each major function should be included. Names of individuals holding each position should be provided Certification of Continued Compliance with Eligibility Requirements Institution should summarize the review conducted to verify that it continues to meet eligibility requirements NACTE: Accreditation Seminar
Format and Content… Responses to Recommendations from the Most Recent Evaluation - If the Institution has had a previous evaluation visit, the report must include a section which concisely indicates what has been done regarding recommendations made in the last team report
Institutional Self Evaluation … The SES is supposed to include; a description of what the institution is doing (descriptive summary), an assessment of how the institution is doing (self-evaluation), and an action plan to address issues raised in the appraisal process (Planning Agenda).
Institutional Self Evaluation … Each Standard is addressed in turn using a three part format; ( i ) Descriptive summary This section should neatly state how the Institution meets the standard (ii) Self-evaluation Here, the Institution moves beyond description to analyze and systematically evaluate itself in terms of the standard and reports the results of its Institutional assessments. Institutional Self Evaluation … (iii) Planning Agenda When an Institution describes and evaluates its programmes and services with reference to each standard, areas in need of change are identified The planning agenda sections for each subsection of the standard should forecast progress the Institution expects to make The statements the Institution makes in this section are its recommendations to itself .
Institution Self Evaluation… The planning agenda sections should include the following elements: Statements of the plans, activities, and processes the Institution expects to implement; a statement of what the Institution thinks it will do. Discussion of the ways the areas identified will be incorporated into the ongoing, systematic evaluation and planning processes of the Institution. Discussion of how the outcomes of these plans, activities and processes are expected to improve student learning and Institutional effectiveness.
Format and content… Planning summary a concise summary of planning areas identified by the institution. this statement should indicate how the Institution proposes to integrate all of the planning recommendations it has made to itself into a comprehensive agenda. the summary should provide a coherent, even thematic, guide for future Institutional activities.
Format and content… Special Addendum for international operations If an Institution engages in international operations, an addendum demonstrating how the international operation conforms to national and NACTVET policies is required. Supplementary Documents to be Available Documents available to the visiting team should include the unedited, primary data and reports on which the Self Study Report is based. When documents are cited in the Report, they should be indexed by standard for easy reference by team members. In preparing its Self-Evaluation Study Report, an institution is expected to present appropriate documentation to support its description and analysis of programmes and services and evidence that it meets or exceeds the requirements for accreditation.
EVALUATION VISIT An institution shall then submit self study report and all other related documents to the Secretary. After the submission of accreditation documents; if found worth of accreditation by the respective Subject Board, an evaluation visit is made.
