Outcome of the Task By the end of this session, the learners should be able to make presentation, learn how to Schedule and Record an online Meeting in MS TEAMs along with various other features.
Steps for How to Schedule and Record a Meeting in MS TEAM 1 Log into Microsoft Teams Open the Microsoft Teams application or navigate to the Teams website. Log in using your credentials. 2 Navigate to the Calendar Click on the "Calendar" tab on the left-hand sidebar of the Teams interface. 3 Schedule a New Meeting Click on the "New Meeting" button located at the top-right corner of the calendar view. Fill in the meeting details: Title: Enter a descriptive title for the meeting. Date and Time: Select the date and time for the meeting. Duration: Specify the duration of the meeting. Location: Optionally, add a location for the meeting. Description: Provide additional information or agenda for the meeting. Click on "Save" to schedule the meeting.
4 Add Participants In the meeting invitation window, add participants by typing their names or email addresses in the "Add required attendees" field. Optionally, you can add participants as optional or specify resources if needed. 5 Set Meeting Options Configure meeting options such as: Whether to allow attendees to bypass the lobby. Who can present in the meeting. Whether to enable chat, reactions, and meeting recordings. Any other relevant meeting settings. Click on "Send" to send the meeting invitation to participants. 6 Start the Meeting At the scheduled time, navigate to the calendar view and click on the meeting you scheduled. Click on "Join" to enter the meeting. Wait for other participants to join or start the meeting if you're the organizer.
7 Record the Meeting Once the meeting has started, click on the three dots (More options) at the bottom of the meeting window. Select "Start recording" from the dropdown menu. Confirm the recording by clicking on "Start recording" in the pop-up window. Ensure all participants are aware that the meeting is being recorded as per organizational policies and regulations 8 End the Meeting and Save Recording When the meeting is concluded, click on the "End Meeting" button. After ending the meeting, Microsoft Teams will automatically process the recording. Once processed, the recording will be available in the "Recordings" tab within the meeting chat for all participants to access.
9 Share Meeting Recording If needed, share the meeting recording with participants who couldn't attend or for archival purposes. Click on the "Recordings" tab within the meeting chat. Select the recording you want to share and click on "Open in SharePoint." Copy the link to the recording and share it with relevant participants via email or Teams chat. 10 Follow-Up Actions Review meeting notes or chat messages for any action items or decisions made during the meeting. Assign tasks to relevant individuals and set deadlines if necessary. Schedule follow-up meetings or check-ins as needed.
