Wku infoview A Web Reporting Tool at WKU

WKU INFOVIEW You will login to InfoView with your NetID and password. NetID NetID Password Select Windows AD

When logged in, the InfoView home page should display – with tabs appearing as Home, Favorite, Recent Documents, and Recently Run. Everyone should see Folders – this folder will show all folders you have access too. All Faculty/Staff employees will have access to the WKU Campus Community folder once they have been activated in HR. You must be granted access to any secure folders by contacting WKU ITS Application Support.

The Folders Icon will be clicked to display the Public Folders with the WKU Campus Community folder and the Student Folder if you have been assigned a folder that may be unique to your department. After you click on Folders, you will click Public Folders .

We will do a walk through of how to schedule various reports: Program Enrollment Schedule of Classes Program Inventory (Maj/Minr/Conc) Academic Colleges HR Secure

Locate in Public, WKU Campus Community, Program Enrollment This report is in the Undergraduate folder, DETAIL- Program Enrollment by Dept or College (dw) Prompts and Scheduling are similar for other reports Program Enrollment Report

You will right click or use the … to Schedule the report Program Enrollment Report

Under the General Tab, you can schedule this to run as a recurring should you need. Please refer to the InfoView manual on instructions to schedule a recurring report. Program Enrollment Report

Under the Report Features Tab, you will enter the prompts necessary to run the report. This can be done by clicking on the individual prompts or clicking the Edit Values. This demonstration will use the Edit Values. Program Enrollment Report

You will be asked to enter values for Term, selecting Address type, selecting whether you are running this by College or Department, entering the desired College(s) or Department(s), and selecting the order in which you wish to run the report. Program Enrollment Report

The term code is the year plus the semester code: (ex. Fall 2024 is 202430) 05- Winter 10- Spring 20- Summer 30- Fall Program Enrollment Report The Address Type is selected by clicking the drop-down menu You will select your preference Highlight selection Click cancel to return if you are staying on the selection pre-load.

The Select Type will allow you to select between College(s) or Department(s) You will click the drop-down menu You will select Highlight selection Program Enrollment Report

To enter the selection based on the type (college or department) you will enter the codes. Codes are found at the end of the slides You may enter multiple codes You will type your selection and click the This adds your selection to the values Program Enrollment Report

Program Enrollment Report The Select order will allow you to select the order you wish your information to be organized. You will click the drop-down menu You will select Highlight selection You have successfully added the values You may now click

You will click the report By clicking you will be taken straight to the prompts Human Resources Secure Report

Human Resources Secure Report The click will bring up the Prompts box. Prompts MUST BE completed in the format listed by each prompt title The Date Format MUST BE DD-MON-YYYY (ex. 01-JUN-2023) The Desired Fund is typically 110000 (unless provided differently by Accounting or Grant Accounting) The Desired Orgn is the number (sometimes referred to as the Index Number)

After you have successfully enter your prompts, you may click Run Human Resources Secure Report

You will be prompted to enter a Database Logon This is your Banner User ID (typically U_LASTFM…Last name, First initial, Middle initial.) If you are unsure of your User ID, please contact App Support at [email protected] Your password is your Net ID password. Should these be out of sync, it will not allow you to proceed. Please reset your Net ID password at https://www.wku.edu/its/accounts/manage/ This will sync the two accounts. Human Resources Secure Report

Once you have successfully entered your User ID and password you may click ok. Human Resources Secure Report

Human Resources Secure Report Your report will open This particular report will provide the: WKU ID and Name of the Employee The position number The fund/orgn number The hours and pay of the employee For additional information on the function inside the report, please see the InfoView Manual

Locate in Public, WKU Campus Community, HR Secure, Web Time Entry We will now run the Prompts and Scheduling are similar for other reports Human Resources Secure Report

Prompts MUST BE completed in the format listed by each prompt title The Payroll Year MUST BE YYYY (ex. 2024) The Payroll ID is ST (this is for Student Payroll) The Payroll Number is whatever is provided by Payroll each This is located https://www.wku.edu/strategyopfin/payroll/ under the Payroll Schedules The Desired Time Sheet Organization Code is Orgn Code (sometimes referred to as the Index Number) The approvers Banner User ID (U_xxxxxx) is the MAIN APPROVER for those timesheets that has been set by the Payroll Office. If you are unsure, please contact Payroll If you are a proxy, your User ID WILL NOT allow the report to run ALWAYS use the MAIN APPROVERS User ID

After you have successfully enter your prompts, you may click Run Human Resources Secure Report
