SMART INDIA HACKATHON 2025 Problem Statement ID – SIH 25250 Problem Statement Title- E-office Productivity alignment module Theme- Miscellaneous PS Category- Software Team ID- 72644 Team Name- Beta Runners

2 SIH - 2025 Beta Runners e-Office Productivity & Alignment Module Innovation : By breaking down key results at organisational-level, team-level, and individual-level performances, we can get the productivity index of an organisation. Proposed Solution: The e-office productivity and alignment module (e-pam) offers a ‘hierarchical goal-setting pyramid’ that helps solve the problem. Our module uses the Objectives and Key Results (OKR) model to create a "Goal Tree. Problem: No unified system for diverse roles: Existing platforms don’t measure both HQ (administrative) and field (technical/project) staff with role-specific KPIs. Subjective & outdated appraisals: The current process only digitizes subjective annual reports instead of providing continuous, data-driven performance scores. Lack of Real-Time, Actionable Dashboards: Managers lack real-time dashboards to monitor employee productivity and make timely, informed decisions. Weak integration with decisions & workflow: Performance data is neither integrated into e-Office daily tasks nor linked to promotions, training, or recognition.

3 SIH - 2025 Beta Runners TECHNICAL APPROACH Frontend and Realtime DB Conversational AI Project version control and language integration Aspect Explanation Strategic Value (The Big Win) Creates an honest report card (the 3-Level Productivity Index ) that shows exactly who is aligned with government goals and who isn't, forcing better performance. Problem Solved Fixes the four "No's" in government: No clarity on what to do, No objective data for reviews, No visibility on who's stuck, and No fast way to change strategy. Social Impact (The "Why") Makes the government work faster for the public. It means quicker file clearance and better service delivery for every citizen. Core Technology The heart is a smart Scoring Algorithm that crunches numbers to calculate productivity, backed by a simulated Automatic Tracking Link to e-Office files. Platform/Access It's a simple website module that looks and feels like it belongs inside the existing e-Office system.

FEASIBILITY AND VIABILITY 4 SIH - 2025 Beta Runners Feasibility & Viability : Strategic Alignment: Strong fit with Digital India & e-Governance goals, boosting efficiency and transparency. Economic Viability: Low-cost e-Office add-on with high long-term savings. Operational Transformation: Real-time dashboards enable continuous, data-driven performance improvement. Critical Gap Coverage: Provides the missing unified tool for goal setting, progress tracking, and productivity measurement. Compliance & Security: Fully aligned with government IT and data privacy standards. Challenges: No fair way to measure both HQ administrative staff and field technical staff. APAR system is subjective, annual, and backward-looking. e-Office holds raw data but provides no productivity insights. Lack of objective data weakens recognition and corrective action. Solutions: Introduce a unified platform with role-specific KPIs for fairness and transparency. Replace annual reports with live dashboards for continuous, proactive performance tracking. Transform raw e-Office data into clear, actionable productivity metrics. Link daily work to measurable outcomes to build accountability and merit-based recognition.
