3. . Equipment Usage Monitoring Preventive Maintenance Service Monitoring Breakdown Details of the Equipments Equipment service History and would be help in decision making for repair, service, spare or condemnation of equipment.

Modules on E- upkaran software Equipment Inventory Module -Online updating of inventory (Equipments &Instruments) including Guarantee & Maintenance Contract of all the available equipments and equipment, installation location (user department) at the individual healthcare facilities. Equipment Complaint /Maintenance Module -Online monitoring & management of equipment breakdown complaint / service & repair / preventive maintenance (PM) services.

5. . Equipment Usage Module -This module is used to update daily online Usage reporting (total nos. of test done by the equipment) from individual healthcare facilities. Equipment Demand Module -To ascertain new needs of equipment from facilities reporting. This module is used to monitor daily online reporting tools from individual healthcare facilities. Due to role based access user can access and the operations that he/she can administer through the application.

6. Operational Advantages Improved Health services at all institutes. Centralized monitoring of equipment for optimum utilizations. Online Status of Equipment Inventory, functionalities and maintenance status. Need based rationalization of equipment/instrument/others both inter and intra institutions. AMC/CMC with the Service Provider to cut down on the cost of repair and maintenance. Reduced break down time. Establishment of Complaint Redressal Cell at the state levels to cut break-down of services. With coordination between modernity and innovation, system would be made more effective and updated in conducting health programs.

7. Inventory Process In e-Upkaran Below is the Inventory process in e-Upkaran: Step-1: Inventory ADD through ‘ Inventory Entry Form ’ -Here inventory can be added without barcode and without Guarantee and Installation details. Step-2 : Inventory Verify through ‘ Inventory Desk ’ - Here barcode details and Guarantee /Installation details are mandatory to fill. Inventory modification and deletion can be done here. Step-3 : Inventory final Verify/freeze through - After this verification stage, Inventory will be finally freeze. So, It can not be modified or deleted further.

10. Login with the User id-Password and Captcha Code:

11. Click on EMMS Services>>Services>>Inventory Entry Form

12. Fill all the details to add the Inventory and Click on Save Button

13. Inventory Entry Form>>Modify>>select the inventory and click on modify button

14. Modify the details and Click on Save Button

15. Inventory Entry Form>> Delete Inventory : To delete the inventory , Select the record and Click on Delete Button

16. Step-2>>Inventory Desk>>Verification of Inventory After adding the Inventory (at Inventory Entry form), it will be verified by first verification level, through Inventory Desk. At the time of verifying inventory, Below information are mandatory to enter: Service provider barcode Guarantee & Installation Details Without these details, inventory can not be verified.

Requirements for verification As per the present policy of E- upkaran , following are mandatory requisite for verification levels- Service Provider Bar code Guarantee & installation details Since the tender is likely to take a time to come on floor, thus the entry of bar code by service provider may be done at the final verification level instead of first verification level.

33. Criticality of some of the equipments Decision regarding the critical equipments repair and maintenance policy It may be decided to set up the short repair time for these equipments which may be 24 hrs or as per decision.

34. Equipments costing more than Rs 1.5 Cr Decision regarding the equipments which costs more than 1.5 cr Whether these equipments will be included in R & M tender or will continue with the present arrangement.

35. Fund requirements Funds arrangement for commissioning of E- upkaran tender- As the funds presently available with the medical colleges are not sufficient.Thus fund requirement and source of fund flow may be decided upon.

36. Supply of genuine parts Policy for supply of genuine parts by OEM to the service Provider may be framed as the OEM may deny for supply of genuine parts to third party i.e. the Service Provider.

37. New version of E- Upkaran software As newer version of E- Upkaran software is being worked upon, it may be discussed in terms of variations from present software as well as its implementation.
