GATE ENTRY AND WEIGH BRIDGE PROPOSED SOLUTION FOR MATERIAL INWARD PROCESS RAW MATERIAL-TIMBER
ENTRY PROCESS AT BOOM BARRIER GATE: Loaded Vehicle arrives ou tside first gate and parks in parking yard in a queue waiting for its turn. Now the vehicle will come in front of Boom Barrier check point which will be installed before entry gate (We refer it as “First Gate”). A photograph of vehicle will be clicked by CCTV camera installed at boom barrier (This photo will be saved in a system to be placed near Boom Barrier and can be referred in case of any mismatch in future) and a unique number will be assigned which will be a combination of Date+Time+Auto Generated counter number . Here this process will be automated by AI App . The Date and Time of the image captured should be same as of CCTV camera installed in Boom Barrier. [ QR Code Printer/Scanner to be suggested by AI . ] AI App will send a command to the QR Code Printer to print a QR code sticker consisting of combination of Unique code which is combination of Date+Time+Auto Generated counter number . The Sticker will be printed and pasted on the Vendor Invoice. Then only the vehicle will be allowed to enter the Factory premises by security guard. The Date+ Time +FY+Auto Generated counter number combination can be sent to SAP. [ SAP-AI App integration ]
REPORTING PROCESS AT BOOM BARRIER GATE: VEHICLE WAITING IN QUEUE BOOM BARRIER QR CODE STICKER GENERATED QR CODE PASTED ON INVOICE MOVES TOWARDS MAIN GATE
VEHICLE REPORTING PROCESS: Now the driver will approach the main gate security with relevant documents and will submit it to security guard. The Security Guard will check and verify the documents. If QR code is not present on the invoice then he will ask the driver to go back to the boom barrier to ask the concerned person for QR code sticker else he will tick relevant details (Company name, GST Number, E-Way Bill expiry date, Mandi 9R, No of tyres, stamp of forest department, mandi stamp, outside weighment slip etc.) and will submit the papers to S ecurity Supervisor. Security Supervisor will check the relevant documents and will manually fill details in gate register, generate Pravesh Parchi no. and pass these documents to Gate Entry Operator for creating Reporting Number in SAP. Gate Entry Operator will check the documents including the QR Code Sticker. PO and other details are entered into SAP and Reporting number will be generated. This reporting number will be manually written on the document by Gate entry operator and will be handed over to Security Supervisor. Simultaneously, Reporting number will also be populated in AI App. [ SAP-AI App integration ]

GATE ENTRY REFERENCE NUMBER GENERATION PROCESS: Af ter successful completion of the reporting process, Gate Entry Reference Number generation process will start. Now it's time for vehicle to arrive physically at Main Gate. An area will be marked outside main gate for vehicles to stand for clicking proper photos by a CCTV camera which will be controlled by AI App. T he vehicle arrives at the security gate and stands in designated area in front of CCTV camera, the security guard will access AI App and will click on “ CAPTURE IMAGE ” button against entered SAP Reporting Number of that vehicle. The App should display only those Reporting no. list against which Gate Entry is not yet generated and not marked for deletion, and the vehicle no. corresponding to the Reporting No. typed by Security Guard. Through AI App, a virtual ROI (Region Of Interest) will be drawn to detect number plates, if vehicle is not in ROI, a message in AI App will be displayed to click again. This pop up will be provided for a maximum of 3 times, after which a Hooter will be activated and also the same will be informed through WhatsApp and Mail. Also, the “ CAPTURE IMAGE ” button will be locked. This will be unlocked automatically after a timer of 5/10 minutes, as specified. If the vehicle is placed properly, AI App will capture Vehicle no. Plate through CCTV camera against the Reporting N umber entered by Security Guard , and AI model will detect and predict number plate and automatically an entry of digital number plate will be created against the image and reporting number in AI App.

GATE ENTRY REFERENCE NUMBER GENERATION PROCESS (contd.): There may be several Number Plate issues such as - 2 number plates in one image, rainwater on camera, number plate not visible, number plate not present, number plate broken / removed etc. If image is not captured : AI App will send email alerts stating “Image not detected/visible/wrong”. In this case, Factory person will paint the number plate and above 3 steps will be repeated. The “ VALIDATE ” button will NOT be enabled in this case. If image is correctly captured : The operator will then click on the “ VALIDATE ” button from AI App. This activity will validate number plate details extracted from AI App against manual number plate and reporting number received from SAP. If there is a mismatch, then an E-mail/ W hatsApp will be triggered to ADMIN including information like Reporting no., number plate image, number plate predicted by AI and No. Plate manually entered in SAP along with error % . There can be 3 cases - a) mistake by operator during manual entry, b) mistake from AI model in prediction (as any AI model can’t be 100% accurate). a) If operator has made mistake, ADMIN will make correction in SAP. b) If AI has made mistake, ADMIN will click “ MODIFY ” button in AI App to manually correct vehicle number plate and email/WhatsApp notifications will be triggered to management and associated people. Integration with M- Parivahan App will be made to fetch related vehicle information parameters. After getting information from M- parivahan API, necessary validations need to be added in the AI App. Number Plate Validations to be done - Minimum 8 characters, Maximum 11 characters, “IND” type characters removal in detections and unwanted symbols removal during detection. All the relevant M- Parivahan parameters will be stored in AI App and simultaneously be sent to SAP. [ SAP-AI App integration ]
GATE ENTRY REFERENCE NUMBER GENERATION PROCESS (contd.): Once all relevant validation is done, AI App will send signal to SAP to proceed with Gate Entry (Reference Number) generation. [ SAP-AI App integration ] After successful validation of Reporting Number and Vehicle details, Inward stamping will be done by Security Guard on Invoice and Inward number will be written on it. Then the documents will be passed to Gate Entry Operator for Gate Entry Reference Number generation. At the time of creation of Gate Entry Reference Number, the Gate Entry Operator will first select Reporting No. and then scan QR code of invoice by QR code scanner. After scanning QR code, the data will be shown on the SAP screen and will be validated against the existing Boom Barrier Data present in SAP. This validation will ensure that the vehicle has passed the Boom Barrier. [ SAP-QR Scanner integration ] Some additional validation checks viz. Date+Time+AutoCounter is not repeated/Should not exceed current date and time/must not be more than 24 hours back ...etc. needs to be deployed (as decided by Mgmt.) After validating QR code and green signal from AI App, Gate Entry Reference number creation screen will appear. If QR code is not scanned and validated automatically, then it will not proceed further for Gate Entry Reference Number Generation. After all the necessary validations, SAP will generate Gate Entry Reference number which will be connected to RFID tag scan process.
GATE ENTRY REFERENCE NUMBER GENERATION PROCESS (contd.): For tagging generated Gate Entry Reference number and RFID, following steps to be followed: ( i ) Gate Entry Reference number will not be saved until a RFID tag is associated/linked to it, after RFID association/linking with Gate Entry Reference number SAP will save data. (ii) If the vehicle is coming for the first time, then, Gate Entry Operator will take RFID tag from Security and will tag RFID against Gate Entry Reference number, and the same RFID tag will be pasted on the vehicle by Security Guard. Here Gate entry operator will use RFID reader to read and store RFID data in SAP for future use. [ SAP-RFID Reader integration ] (iii) If Vehicle is already tagged with Greenpanel's RFID tag, then reader which is fixed outside security cabin will be activated and will capture the RFID tag against Gate Entry Reference number and data will be saved and Gate Entry Reference number will be generated. [ SAP-RFID Reader integration ] (iv) At any point of time, a single RFID TAG will be associated with a particular vehicle no. Suggestion: We can display the record of Vehicle number against which RFID has been tagged previously as soon as we are proceeding for generation of Gate Entry Reference number. Gate Entry Reference number will be generated and populated in AI App and Leotronics WeighPro Software simultaneously along with reference of RFID Tag. [ SAP-AI- Leotronics Integration ] All information will be passed to AI app after completion of this step and vehicle will be sent to Weigh Bridge for Weighment.

VEHICLE GROSS WEIGHMENT PROCESS: GROSS WEIGHT Now the vehicle will proceed for Weighment. As soon as the vehicle enters the factory premises, at the entry Security Guard will check inside the vehicle for any foreign material (Big Water drum (filled with water), liquors, match sticks, underage (below 18 years) person etc.), if any object found it will be kept at with security and will be returned when vehicle will leave the factory premises. L oaded vehicle will approach to Weigh bridge for Gross Weight with relevant papers. Driver will approach to Weigh bridge platform. On Leotronics WeighPro software, "Current Weighment" screen will be opened by Weighment Operator post paper verification. RFID reader will read the RFID TAG from the vehicle. RFID data will be transferred to Leotronics WeighPro software, depending on the RFID tag. [ Leotronics -RFID Reader integration ] Gate Entry Reference Number which was tagged against that RFID will be selected on the screen automatically which will be fixed and cannot be altered by the Weigh Bridge Operator. Boom Barriers will open via WeighPro Software, and vehicle will approach the weigh bridge platform. Camera mounted on 2 Boom Barriers will come down to its position and photograph of number plate will be clicked by Weigh Bridge operator against that Gate Entry reference number selected against RFID tag. In this step weighment cannot be processed until vehicle number plate data is verified by AI App and its previous data against that reporting/Gate Entry Reference number. [ Leotronics -AI integration ]
VEHICLE GROSS WEIGHMENT PROCESS: GROSS WEIGHT Driver will get off the vehicle and come to Weigh Bridge operator with papers. Weigh Bridge operator will collect the papers and physically check from his seat that there should be no one inside the vehicle. Other Details that are filled and verified at Weigh Bridge before taking weight are: Here Operator will take confirmation from driver about his name, vehicle number etc. and check the same with the data populated against that reference number in WeighPro software, if any mismatch seen/found, he will not do weighment and inform to his reporting manager and ask driver to remove his vehicle from weigh bridge platform until confirmation is received from his reporting manager. Rs. 50/- to be collected from the driver and entered in WeighPro software against corresponding field as per the no. of tyres in vehicle Weigh Bridge operator will click photograph of vehicle (along with material from front and rear from camera installed at Weigh bridge for taking photographs of vehicle) against automatically selected Gate Entry Reference number in WeighPro software.
VEHICLE GROSS WEIGHMENT PROCESS: GROSS WEIGHT Once number plate is validated, and all records are matched, First Weight (Gross) will be processed. Tare option will be locked in that entry on that weigh bridge ( only for Timber ). Leotronics WeighPro software will perform its regular procedure of clicking photographs from front and rear and other details will be verifies and filled Weigh Bridge Operator. Now Weigh Bridge Operator will save the transaction and take print of weighment slip sign on the slip and hand over them to the driver and ask the driver to go for unloading at Wood Yard unloading point. GROSS WEIGH WILL BE COMPLETED.
LEOTRONICS WEIGHPRO SOFTWARE SCREEN FOR GROSS WEIGHT AI APP- CAPTURE NUMBER PLATE AFTER SUCCEESFUL VALIDATION, WEIGHPRO S/W WILL START FURTHER PROCESSING FOR GROSS/TARE WEIGHMENT NUMBER PLATE VALIDATIONS WILL BE DONE
Loaded vehicle after Gross Weight will report to the Wood yard and approach to timber unloading supervisor. Timber Unloading Supervisor will properly check the papers given by driver. Unloading Supervisor will ensure that the correct vehicle with correct material has reached the yard for unloading. After confirmation, Unloading Supervisor will ask the driver to place his vehicle for unloading near the unloading point. Unloading will start (Grabber/manual) as per facility provided by Factory Management. Here Unloading supervisor will mention details like Lot No. and other details on paper. After unloading, the driver will again approach the unloading supervisor and inform him that the vehicle is unloaded. Unloading Supervisor will physically check the vehicle and then sign on corresponding paper. VEHICLE UNLOADING PROCESS AT YARD:
Unloaded vehicle will approach to Weigh bridge for Tare Weight with relevant papers including signatures of Unloading supervisor’s signature on TIS. The driver will approach Weigh bridge with his vehicle. On Leotronics WeighPro software, "Current Weighment" screen will be opened by Weighment Operator post paper verification. RFID reader will read the RFID TAG from the vehicle. RFID data will be transferred to Leotronics WeighPro software, depending on the RFID tag. VEHICLE EXIT PROCESS After unloading of material and Tare weight completion the vehicle will reach at main gate for exit. Driver will hand over all papers including Weighment slips to the Security Guard present at gate. The Security Guard will verify all papers (If required, he may consult with Timer Supervisor who is stationed at Main Gate) and after proper verifications of all papers and signatures he will hand over the papers to Security Supervisor. The Security Supervisor will check the papers and do the entries required in TIS and Inward Register and handover the papers to Gate Entry Operator. Gate Entry operator will enter Gate Entry Reference Number in exit node and proceed for exit process. After getting data against Gate Entry Reference Number, Gate Entry Operator will check the status of transaction in SAP. He will check for Gross and Tare weigh status, if found complete and all papers are duly signed by respective individuals, he will sign the paper and exit the vehicle with valid remarks in SAP. Now papers will be handed over to the Security Guard and vehicle will be physically exited from factory premises. As soon as the transaction is exited, RFID data must be refreshed and that RFID will be made ready for next transaction. If the vehicle is not exited through SAP then the RFID data will be remain uncleared and next time when the same vehicle will come then the entry could not be made possible until vehicle is exited from the system .
