Purpose
–This presentation explains document management and training management processes of the GRD
application for Account Individuals and Managers
–The main processes covered by GRD are:
oPersonal Information & Training (Focus on definition and documentation of the individual’s role
responsibilities in the account & trainings relevant for their role)
oDocument Management (Focus on search & find)
Time Management
–To work through this presentation:approx. 60 minutes

Electronic Signatures in GRD
Upon update or approval of documents, GRD prompts you for electronic
signature.
This signature is legally equivalent to your wet ink signature on a document.
Every time a document is saved, an entry is added to the Audit History.
For any document saved the electronic signature captures the date, GMT Time,
Individual's name, and comments with any reason for rejection entered
You must enter your full notes id i.e. Ann Smith/UK/IBM, followed by your Notes password

Training for all IBM GMSA Novartis Account Individuals is assigned based on
Role Profiles which:
–are assigned to an Account Individual in the Account Training Record (ATR)

Summary
Every Account Individual needs to be set-up in GRD to document personal information, CV
and Job Description. Additionally training is assigned that is relevant to enable him/her to
perform the assigned role in the account. This will be initialized by the Manager.

Summary
Based on the assigned training in the ATR every Individual in the account needs to perform
“read, understood & will comply” training. This includes training on documents and signing
the training evidence with an electronic signature.

Summary
Once an individual leaves the account, a process is invoked to retire and archive the
individual’s data in GRD. It is the manager’s responsibility to start this process.
If the individual returns to the account, the Personal Record can be retrieved from the
archive by the GRD DB Admin.

Responsible roles involved in the GRD On-Boarding and Training process flow
IBM Role Profiles Description
IBM NVS Account Individual The Account Individual is any IBM employee or contractor and represents the function
that performs work directly for the customer at IBM. The Account Individual may also
be referred to as an Account Team Member.
IBM Task / Line Manager The Task / Line Manager is the person the Account Individual reports to in the account.
This can be a manager responsible for a specific service or task or the BluePages line
manager.
The manager is responsible for starting the on-boarding process for the individual in
the account, to assign training and to approve the individual’s Account Training
Record.
The manager is responsible that all assigned Account Individuals are appropriately
trained and qualified to perform their role.

Member
(GRD Admin)
The GRD support team member is responsible for managing records in GRD,
administering GRD and supporting the account in all tasks regarding GRD (e.g. Help
Desk, creation of documents, formal QA, change of approvers, etc.).
IBM Role Profile Manager /
IBM Regulatory Delivery
Leader
The Role Profile Manager is responsible for approving, rejecting, or retiring Role
Profile Records and confirming that the list of SIMs, SOPs, and WIs for training in that
Role Profile is correct and complete.
Note: In addition, the Regulatory Delivery Leader (RDL) may perform Quality
Assurance (QA) aspects for the Role Profile Manager

Responsible roles involved in the GRD Document Management and Training process flow
IBM Roles Description
Account Quality
Assurance
The Account QA is responsible to review all documents (except qualifications) before creation in
GRD. Their review is focused on content quality rather than formal quality.
IBM Document
Change Requestor
The Document Change Requestor is the person that requests a change to an existing or a new
document and creates a Document Change Request. This person can be assigned as GRD
Document Stakeholder for the DCR document. This may be Account Individual.
IBM Document
Editor/Owner
The Document Owner is accountable for the total scope of regulatory audit readiness of the
controlled procedure/document. Including initiating document creation, reviewing or approving
document content, requesting updates (as required), completing periodic reviews and retentions.
This includes the assignment to role profiles for training relevant documents.
SIM/SOP/WI:
Usually the Process/Service Owner is assigned as Document Owner for SIM/SOP/WI and Role
Profiles. He/she is responsible to approve DCRs and handle documents throughout their lifecycle.
The Document Owner is usually assigned as the first approver (Author/Technical Contact)
Additional editors can be assigned in GRD as approver or as a person that is informed about
major changes regarding the document (Document Stakeholder)
Other documents:
Usually the document editor/creator is assigned as Document Owner and is responsible for a
document throughout its lifecycle.

Approver
The Document Approver is responsible for reviewing, approving or rejecting the content of a
controlled document within their scope of responsibility.
IBM Approver:
Depending on the type of document a list of IBM Approval roles is available in GRD:
–Author/Technical Contact
–Business & Technical
–Peer Review/Approvers
–IBM Compliance
IBM Compliance Approver:
The IBM RegulatoryCompliance Officer is responsible to approve compliance/GxP-relevant
documents (mandatory for SIM & SOP).
Novartis Approver:
Novartis Approver are responsible to approve (and view) documents in the GRD Web-Application.
Usually a Novartis Compliance Officeris assigned to approve IBM documents in GRD. But
evidences (e.g. Installation Qualifications, Disaster Recovery Plans) can require additional
approver.

GRD Work Request Form
In order to get access for a new Account
Individual, the manager needs to fill out the yellow
part of the GRD Work Request Form and send it to
the GRD Support Team. The user will then be
created by the GRD Support Team.
To enter the values into the fields use the
predefined lists per cells e.g. for Country/Global,
IBM Location and Role Profile Name.
It is also possible to set up a new Account
Individual the same as an existing one. This might
be helpful e.g. if the employees are working in the
same locations and having the same role profiles.
If an Account Individual leaves the account, the
manager needs to enter the leave date in column I.
