Notices are either displayed at prominent places or published in newspapers/ magazines. Since a notice contains a formal announcement or information, its tone and style is formal and factual. Its language should be simple and formal. Notice is always brief and to the point. The notices use passive form language to deliver a direct message to the readers of the notice. It is written in around 50 words.

6. 6 Raksha Soni PGT English Format in detail The  notice  includes - Name of Institution / Organisation   -  It refers to the name of institution of which the person writing a notice is a part of . For e.g. - It is mentioned in question that you are the Head Boy / Head Girl of  Kalyan Public school so the name of institution is "  Kalyan Public school  ". Date  - It should be written in the form month in  words , date in number and then year. Heading  - The Heading of the Notice should always be  according to main idea on which the   notice  is based like if it is a notice about a Inter - School  Debate Competition then the heading would be  " Inter - School Debate Competition " Body  - The body should contain all the necessary information required in the notice like time, venue, last date and it should be written in passive voice without the use of first person . Signature  - The person who is responsible for notice, his signature should come . For e.g. - You are Amit / Anita , the Head boy or Head Girl of the school . Then you have to sign as Amit or Anita , When name is not mentioned then you have to assume yourself as  XYZ or ABC   and sign accordingly .  Name  - It is the mentioned name like in previous e.g. Amit / Anita. Designation  - It is the post of the person who is drafting the notice like Head Boy / Head Girl or Librarian . 

7. 7 Raksha Soni PGT English Notice Writing Tips 1.Do not cross the word limit to avoid penalty of marks. The prescribed word limit is 50 words. 2.Repetition of any information should be avoided. 3.Always enclose the notice in a box. Make sure you draw the box with a pencil. 4.Keep your notice short, crisp and to-the-point. 5.Highlight the word “NOTICE” and “TITLE”. It can be either bold or underlined. 6.The title should be captivating and eye-catching. 7.Don’t make hypothetical information and facts. Make use of what’s given in the question. 8.Make sure you do not mention your personal information. 9.Make use of all the available information in the question. 10.Your answer shall include answers to all the 5 W’s – What, Why, When, Where and Who. 11.The purpose for which it is being written should be stated clearly. 12.Focus on presentation and clarity. 13.Use impersonal language, i.e., third person. Avoid ‘I’ and You’.
