Overview- Job Requisitions Job requisitions detail the specific requirements of a job for which someone needs to be hired: It is mapped to HCM Foundational Data Organization (from Organization Tree) Location (TCA Geography) Job Function/Family It includes information needed to market the job Job Summary/Description Rich Media (Video/Image) It captures information for downstream offer creation Job/Grade/Department, etc.
Job Requisitions Prerequisites Before creating a job requisition, at least the following configurations must exist: Organization Tree Defines the organization tree to be used with Recruiting. It is mandatory on job requisitions to select an organization, which is selected within the defined organization tree. Geography Hierarchy (and Structure) Defines the hierarchy of locations (geographies) that will be used with Recruiting. It is mandatory on job requisitions to select a location, which is selected within the defined geography hierarchy. Candidate Selection Process (CSP) All job application created for a given job requisition will follow the same candidate selection process. Before being ready to accept job applications, a candidate selection process needs to be defined.
Job requisition Phases and States A job requisition goes through different phases and states during its creation process. The phase and state of a job requisition is displayed on the Job Requisitions list and also within a job requisition, in the Overview and Progress tabs. The below table lists the phases and states of a job requisition. 1. Draft In the draft phase, the requirements and other information about the jobs are defined 2. Approval The approval phase is used while the job requisition is being approved This phase can be bypassed, depending on the configured approval rules 3. Job Formatting In the job formatting phase, additional information is provided in order to enrich the display of the job on career sites 4. Posting In the posting phase, it is possible to select on which career site(s) the requisition needs to be posted 5. Open In the open phase, the requisition is ready to accept prospect candidates and job applications Phase State Draft In Progress Approval Pending Rejected Canceled Job Formatting In Progress Canceled Posting In Progress Canceled Open Not Posted Scheduled Posted Expired Unposted Suspended Filled Canceled
Create a Job Requisition When creating a job requisition, the first step is to provide basic information in the How section: Requisition Type: Standard or Pipeline Primary Location Use: Template: The requisition will be created using predefined values from a job requisition template. The templates you can select will correspond with the Recruiting Type and Primary Location selected on the requisition. Your access to the templates displayed by the selector depends upon your security profile and data roles. Many of the requisition fields will be pre-populated based on the selected template. Upon selecting this option, a Requisition Template field will display to select the template Position: The requisition will be created based on a specific configured job position. Upon selecting this option, a Position field will display to select the job position. Job: The requisition will be created based on a specific job. Upon selecting this option, a Job field will display to select the job. Existing Requisition: The requisition will be created by duplicating an existing job requisition. Upon selecting this option, a Requisition field will display to select the job requisition that will be duplicated. Blank Requisition: The requisition will be created from scratch using a blank form. Second, provide additional information in the Basic Information section: Requisition Number: this number can be entered manually or set automatically by the system, depending on the configuration Requisition Title Number of Openings: Limited or Unlimited Languages
The third section is where the Hiring Team is identified: Hiring Manager Recruiter Collaborators
If the user creating the job requisition does not have the necessary access rights to edit job requisitions -- they can only create them -- (typically a Hiring Manager), the user is informed that the selected Recruiter will be notified that a new job requisition has been created and needs to be completed. If the user creating the job requisition does have the necessary access rights to edit job requisitions (typically a Recruiter), the user is offered the choice to continue completing the details of the requisition.
Editing Job Requisition Details A user choosing to continue filling the details of the job requisition or any user editing the requisition will be brought to the Requisition Details page. All details of the job requisition can be edited while it is in the Draft phase. The requisition details are broken into sections, which can be edited and saved individually: Basic Information Includes the basic information about the requisition (Recruiting Type, Requisition Title, Number of Openings, etc.) Hiring Team Includes the Hiring Manager, the Recruiter and list of collaborators assigned to this requisition Requisition Structure Includes information about the structure of which this requisition is being created (Organization, Primary Location, and Other Locations) Details Includes additional details describing the job (Worker Type, Regular or Temporary, Full Time or Part Time, Education Level, etc.) Also includes Descriptive Flexfields (DFFs) for the requisition, if configured accordingly
Work Requirements Includes work requirements regarding the job that is being hired for (Travel Required, Work Duration, etc.) Posting Description Includes the posting descriptions shown to candidates applying to the job (for internal candidates and external candidates) Offer Information Includes information that will eventually be used to extend offers to candidates, describing the actual position the candidate is being hired for (Business Unit, Department, Work Location, Job, Grade) Attachments Includes files attached to the requisition, that can be of interest for the requisition Questionnaires Includes the questionnaires containing the questions asked to candidates as they are filing their job application Two questionnaires are always available, one for external candidates and one for internal candidates Screening Services Includes third party provider selections for Background Check, Assessments, and Tax Credits.
Submitting A job requisition Once the details of the job requisition has been provided, it is possible to submit the job requisition for approval. This will move the requisition to the Approval - Pending state. Once the requisition is approved, it will be moved to the next phase: Job Formatting . If the approval configuration is set to bypass approvals, the requisition will be automatically moved to the Job Formatting phase.
Editing the Job Formatting Information When the Job Requisition has reached the Job Formatting phase, it is possible to edit the information used to enrich the display of the job on career sites. This can be done within the Job Formatting tab in the Job Requisition Three types of information can be provided: Employer Description General description of the employer for this job This can be selected from a list of employer descriptions that can be defined within the content library It is possible to select a different employer description for internal and external candidates Recruiting Organization Description Description of the organization for this job This can be selected from a list of organization descriptions that can be defined with the content library It is possible to select a different organization description for internal and external candidates Media Links to images and videos to be displayed on the career site It is possible to provide the URL and title of each media item It is possible to select different media items for internal and external candidates It is also possible to select for each media item if it needs to be included in job offers extended to candidates for this requisition
Previewing the Requisition Posting Within the Job Formatting tab, it is possible to view what the job posting will look like once it's posted on the career sites It is possible to preview the job posting for: Internal candidates: accessing the internal career site from a computer External candidates: accessing the external career site from a computer or from a mobile device
Moving the Requisition to the Posting Phase When the Job Formatting information has been provided, it is possible to move the Job Requisition forward using the Move to Posting action (screenshot above). This moves the requisition to the Posting phase, where it will be possible to define where and when the requisition needs to be posted. It is also possible to use the Open for Sourcing action, in order to move the requisition to the Open phase, without posting it on any career sites
Filling a Job Requisition When desired, it is possible to fill a Job Requisition: Use the Fill Job Requisition action, which moves the requisition to the Open - Filled state Use the Cancel Job Requisition action, which moves the requisition to the Open - Canceled state Use this cancel action in all phases of the requisition, not only when it is open
