World tracer is a highly sophisticated computer baggage filing system. It is a service provided by SITA / IATA for the tracking lost or delayed baggage. The management helps to store a long term data of mishandling baggage information. All world tracer transactions starts with WM (meaning World Tracer Matching) World tracer management continuously monitors the progress of each and every record where required and prompts the user to take necessary action. Paging functions are displayed at the bottom of the transactions page. There are nine paging functions available in world tracer. Uses of paging functions: 1.To get additional information of page. 2. To move one page to another page. 3. To go back to the previous page. 4. To get directly last page of the transactions. PAGING FUNCTIONS

There are seven types of files in world tracer management - AHL: ADVISE IF HOLD OHD: ON HAND QOH: QUICK ON HAND DPR: DAMAGE OR PILFEREGE REPORT RFP: RETRIVE FOUND PROPERTY FWD: FORWARDED BAG FILE QAH: QUICK AHL Types Of Files In World Tracer

File storage in the world tracer management divided in to two types 1-ACTIVE DATA BASE 2-INACTIVE DATA BASE ACTIVE DATA BASE: Files in active data base can be easily displayed, amended and closed. INACTIVE DATA BASE: Once the active file life has ended files are moved to inactive data base in the system and can no longer retrieved with normal transactions. They are stored for a three years from the date they were created. Files in inactive data base requires special transactions to be displayed or amended. FILE STORAGE PERIOD

AHL: 180 days from the date of file creation or 60 days from the date the file is closed. OHD:180 days from the date of creation or 45 days from the date the file is closed. QOH: After creation of QOH the life period is 24 hours. DPR: 180 days from the date of file creation or 45 days from the date the file is closed. FWD: 10 days from the date of message sent in WTR. ACTIVE DATA FILE LIFE

All world tracer management transactions begin with the system identifier WM followed by 3 letter transaction code. Transaction is a combination of codes and elements, processed in the world tracer to display file or create file. Transactions are divided in to four types. TYPES OF TRANSACTIONS : 1.General 2.Action files 3.Reports 4.Controlled TRANSACTIONS

General Transactions: These transactions are used to create/display/amend/forward/close AHL/DPR/OHD/FWD/RPF files. Action F ile Transactions: These transactions are used to check matching files, forwarding files, status of files, all PXF, TTY messages can be displayed in action file transactions. Report Transactions: These transactions are used to request reports from the system. Controlled Transactions: These transactions are restricted with passwords mainly used by head quarters to open unresolved files if required.

Elements are the basic units of information in files and transactions each elements has a unique 2 letter identifier. The element identifier is usually placed at the beginning of a line followed by the element information. Multiple elements may be placed on the same line. A full stop must be placed before each additional element identifier placed on the same line. About Elements

Elements are of three types – 1) Matching elements ( BI,CC,PA,TA,TN,CT) 2) Functional elements( FS,RL,TX) 3) Tracing elements(AG,BW,FI,PP,TK,BR,DB) Entry of elements are of two basic formats Free form elements – These elements allow up to 58 characters per line and frequently allow multiple lines. Fixed format elements – These elements must conform to strict entry formats.

Details of baggage tag

AHL: ADVISE IF HOLD AHL transaction is used to create mishandled baggage report Up to 10 tag numbers can be entered in single transaction Mask to create AHL WM AHL HYDAI/M Text line should not exceed 58 elements All continuation lines should start with (-) RL10-79 are allowed to close the AHL. WM DAH HYDAI12345 Above comment is used to retrieve AHL with file number WM AAH HYDAI12345 Above comment is used to amend AHL with file number WM CAH HYDAI12345 Above comment is used to close AHL WM SAH HYDAI12345 Above comment is used to suspend AHL file WM TTY PIR AHL HYDAI12345 Above comment is used to take print out of AHL WM PIR AHL HYDAI12345/EN Above comment is used to take print out of AHL in a different language.

Second line of the AHL area is called DRY, it will display information about when AHL created ,number of bags ,time, controlling station DRY area can take up to 10 lines FAHIS/M: comment used to check the file history and tracing status in dry area. Meaning of FAHIS as follows - FA: File area, HIS: History, M: Matching FAHIS/A: Comment used to check agent ID( File raised or amended agent details)

In the NM element first name cannot be amended in a file after data entered. First name in the file can be amended with the password. In the NM element second name can be amended with out password. Comment to delete NM02 as below - WM AAH HYDXX12345 NM02 To add contents to a file in the CC element has to fill as below -. EX – CC Y Only 12 categories of contents can be entered per bag

The description for each category in contents can be up to two lines with a maximum of 45 characters per line. To add second line in the contents description line has to start with ( - ) as below Below is EX:- Below comment is used to erase contents category and description from a particular bag - WM AAH HYDXX12345 . CC01 D/BOOK

OHD:ON HAND mask is used to create the files for unclaimed bags. It plays a crucial role in the tracing baggage. Only one OHD can be created in single file. OHD can also be created as NON TRACING FILES these files are created in the world tracer only but the tracer will not send any tracing messages/information/matches to any of the tracing system. Non tracing OHD m ask: WM OHD HYDXX/N ABOUT ON HAND

The input of OHD baggage is the foundation of baggage tracing. OHD baggage information be entered in an accurate and timely manner. MASK TO CREATE OHD: WM OHD HYDXX/M The life period of non tracing OHD file is 36days from the creation date. WM ROF HYDXX this comment is used to retrieve OHD files WM DOH HYDXX this comment is used to open OHD with file number

OHD mask is made up of element identifiers, some of which are mandatory to raise file. If the mask is transmitted without completing the system or user mandatory elements, an error will be received.

There are two types of mandatory elements as below – 1) System Mandatory – System mandatory elements are those elements that are required in all cases to input OHD in to system. The system identifier(WM), File type( OHD), and the input station and airline code always mandatory. 2) User Mandatory – These elements are those elements chosen by the user to be mandatory for input in to the system.

QOH: Quick on hand transactions are used to create left behind bag with the tag number. It allows to create 10 files with one entry using only tag numbers. It is useful when the time is not available to create OHD files for unclaimed bags. Mask to create QOH: WM QOH HYDAI/M. QOH tag number can retain in the system for only 24HRS. QUICK ON HAND

BOM is used to create multiple OHDS at single transaction Five OHDS can be created with one transaction BOM is used only when the multiple OHDS belongs to one passenger BOM will provide individual file numbers for each OHD file in single transaction MASK USED TO CREATE MASK:- WM BOM HYDAI/M ABOUT BOM

TNT:TAG NUMBER TRACE. This transaction will search all the AHL,OHD,FWD,QOH,QAH tag numbers in the world tracer at the time of input. Tag number will be displayed with the mask in the place of TN if any matching is not found. TNT transaction contains maximum of 10 tag numbers. DPR:DAMAGE/PILFERED REPORT This report is used to create for damage bag or items missing from bag Maximum of ten tag numbers can be entered in a single DPR input. DPR does not interface with any of the baggage tracing system since it is not lost bag WM DDP HYDAI12345 this input allows you to open DPR file WM DPR HYDAI/M this input allows you to create DPR DPR

RL CODES 80-99 are allowed in DPR to close files LP-LOSS PROPERTY LP is not allowed if RL codes 80-89 are used LP is allowed to enter if RL codes 90-99 are used TD-TYPE OF DAMAGE TD element is used to specify type, location and extent of damage. Format to enter TD TD BOTT/10MA BOTT denotes location of damage MA- Denotes extent of damage MA-MAJOR,MI-MINOR,TL-TOTAL 10-Denotes type of damage

CFD transaction is used to create a DPR from an AHL file. The original AHL file number will display in AR column. Once the CFD done the system will automatically fill all the details from the AHL file. How to use CFD input: WM CFD HYDAI12345 CFD- Close AHL File & Open DPR File

FWD: Forward found baggage This transaction is mainly used to forward the found baggage to tagged destination Mandatory elements in FWD message are FO,FD,FW,XT Forward transactions are retained in the system for 10days WM RFW HYDAI this input shows the forwarding files details FORWARD FOUND BAGGAGE

Notes: Maximum of 18 tag numbers are allowed in one forwarding message Maximum of 10 names are allowed in one forwarding message Maximum of 04 flight/dates are allowed in one forwarding message Maximum of only 05 forwarding stations are allowed in one forwarding message

RIT: This transaction is used to reinstate AHL and OHD files in tracing mode. For example if in case AHL file is suspended when partial bag received then at that time the suspended tag can be reinstated with the help of RIT transaction. Only 10 files can be reinstated in one transaction. How to use RIT Transaction : WM RIT AHL HYDXX12345 CT01/TN01/BI01 AG XXXX RIT – Reinstate In Tracing

RAT is used to reinstate complete file with out mentioning the file type. Up to 10 files can be reinstated in one entry. Not only files it is used to reinstate partially suspended bags with out mentioning file type. How to use RAT Transaction: WM RAT HYDAI12345 CT02/BI01/TN03 RAT – Reinstate AHL Tracing

RAW is used to reactivate AHL file in world tracer tracing mode It is used when the AHL file that has retired and want to reactivate in a tracing mode. It is used when the AHL file raised in a non tracing mode and like to begin a tracing. How to use RAW: WM RAW HYDAI12345 AG XXXXX Only one file can be reactivated per transaction . RAW- Reactivate AHL in world tracer Tracing

RAW transaction cannot be used for closed file. RAW transaction cannot be used for AHL file that is active in world tracer tracing.

RCB is used to recreate AHL/OHD files that were wrongly closed. RCB creates a new file based on the information there in old file. The old file number will display in AR column. Only one time RCB transaction can be used for one file. Only one file can be created for one transaction. How to use RCB input: WM RCB AHL HYDAI AR HYDAI12345 AG XXXX RCB-Recreate baggage file

All the world tracer management stations have a action file All the TTY,PXF,FORWARDING messages will store in the action file World tracer will receive all the messages from other stations and stores in the action file It behaves like a electronic mail box There are two types of action files 1.Standard 2.Expanded ACTION FILE

Messages are stored in action file for 7days Action files are divided in to days and areas System will automatically moves from DAY1 to DAY2 There are 11 areas in a standard action file There are 32 areas in a expanded action file Each area can hold up to 999 messages per day Expanded area can hold up to 3000 messages per day Expanded refers to head quarter files Standard refers to station files

Action file consists of five transactions CXF: It shows number of messages in each area of action file DXF: Display messages in action file PXF: It places messages in certain areas of action file EXF: Erases messages from action file TXF: Transfers messages from a area to a specific file If there are no messages in any of the areas on any of the day then it will show NO MESSAGES ON FILE

There are 10 action file areas in each station action files. FW- Forward messages AA- Action messages, All the FAH,ROH,FOH messages will be displayed in this area. WM- World tracer messages, All the match messages related to AHL files will be displayed in this area. EM- Extended matches, Files that are beyond the specified initial tracing period will be sent to this area for the first 10 days after the file creation matches will display in WM area, After 10 days the matches will display in EM area. SP- System prompts, This area will displays to take action on a file. AP – Additional prompts, All the PXF messages will be displayed in this area

EC- Email communication, Messages sent by passenger from the world tracer internet will be displayed in this area. BC- Baggage claim, Claim forms submitted by the passenger will be displayed in this area. PR- Retried, All the retried files will be displayed in this area. CM-

Action File Transactions

Files can be displayed by using any one of the following methods 1.File Reference 2.Passenger Name (NM) and the Station/Airline where 3.the mishandling was reported (MS ). 4.Passenger Name (NM) and Date of Travel or Date Range (DT) 5.Passenger Name (NM ), the word ―ALL‖ and the Airline that reported the mishandling (MS ). 6.Extra Name search (EN) and Date Range (DT) 7.Tag Number (TN) or Expedite Tag Number (XT) (Required for QOH display) Different Ways To Display File

The second line in the file is called DRY area DRY area can take up to 10 lines It displays the file status and tracing inputs from the day file created Below are the elements seen in DRY area About DRY Area

CLM- Claim area will display about all the information pertaining to claim if the passenger applied for a damage/ loss baggage claim. Elements included in CLM area

SHO-This area will display the file in the short form with limited element details. This can be mainly used to get the important details of a file in short form. Below are the elements displayed in SHO area. Short Display Of a File

HIS-History area will records the file type, time ,date of the file created. Elements amended, agents ID’S can be recorded in this area. All the matches related to the file will be stored in this area. History area can be displayed by placing file area identifier FA followed by HIS. FAHIS/A will display all file history from the date of creation. FAHIS/M will display all the matching and forwarding details. File History Area

FLZ-Forward to LZ action This transaction can be used when unclaimed OHD bags want to forward to the central tracing office. FLZ Transactions are retained in the system for 10 days. Mask to retrieve FLZ Transaction WM FLZ HYDAI12345(OHD Number) About FLZ

RIB- Reassign in baggage This transaction is used to transfer file from one station to other station Once transaction completed the file will be created with the new file number. Only one file can be transferred per input. WM RIB AHL/DPR DELAI AR HYDAI12345.AG XXX About RIB

SEA – Send an Email This transaction is used to send messages to passenger from world tracer. In the file the email address will be recorded in HIS area. WM SEA AHL HYDAI12345 AG XXX SE XXX/D/A/GMAIL/D/COM( passenger mail ID) REPLY TO- Mention mail ID if passenger want to update TEXT ///////////////////// About SEA

FP – Found property is used to maintain a record of articles forgot by passengers on board or near check in counters. Storage period of FP is 15-90 days. There are 04 transactions for found property 1.RFP- Register Found Property 2.DFP- Display Found Property 3.AFP- Amend Found Property 4.EFP- Erase Found Property About Found Property

DFP- Display Found Property This transaction is used to display the items registered in system WM DFP HYDAI The above input will show the item registered from current day and past seven days WM DFP HYDAI DT 30JAN The above transaction is used to display the items registered on particular day in a month About DFP

ROH – This transaction can be used to send a request for OHD/QOH bag that has matched to a AHL. Only 5 or 10 bags can be sent for a request in one transaction. If more than one request to send with the same transaction each file has to be separated with slash. EX: HYDXX1111/HYDXX11111 The ROH messages will be stored in Matching area of the station AHL. ABOUT REQUEST ON HAND

After sending the ROH request if the OHD is still open after 12 Hours a message will be placed in the SP area of the action file. Message will be sent to OHD station reminding that action has to be taken on OHD If the OHD is still open after 24 Hours message will be placed in SP area of the action file Message will be displayed as ROH has not actioned and the ROH has to be send again .

TXF: Transfer Matches TXF is used to transfer messages from action file to matching AHL/OHD MR area. Once file transferred to AHL/OHD messages in action file will be directly deleted. Comment to use TXF: EX : WM TXF HYDXX FW D1/5 AHL HYDXX12345 ABOUT TXF

EXF – Erase Messages From Action Files Maximum only 10 messages can be erased in a single transaction There are three options available to erase messages Only single message can be erased from an area of a specific day. Range of messages can be erased from an area of a specific day. Erase all messages that contain a specified AHL file reference from a match area for a specific day. ABOUT EXF

CFD: CLOSE AHL FILE AND OPEN DPR FILE The above transaction is used to create a DPR from an open AHL Once transaction is formed AHL will be closed and new DPR will open with file number The original file number will be displayed in AR element of new DPR file. MSS – Activity status by flight/ date report The above report gives the summary of number of AHL’S and DPR’S open and closed in a month. Matching is the process which compare the tracing information in an AHL file to a OHD/TNT/QOH. Tracing elements in both the files are compared and points are awarded based on the elements matches in each file. For each and every elements points will be awarded if the potential points matches with the actual points then percentage will be displayed in MR. Matching Process
