Documents
View all existing documents by clicking on the Documents menu item at the top of the page. The list
of documents will show all Quotes and Material Purchase Orders sorted by last modified.

Keyword Search
Search your list of documents by Name/Address using the keyword search. Click Advanced for more
search options such as Document Type, Claim/Ref Number, Created Date, and Last Modified.

Project Details
To view an individual project’s details, click on the arrow icon next to the ellipsis. The project details
include Name, Address, Created By, Claim/Reference Number, Client Company, Client, Name, Client
Email, Client Phone, Created Date, and Last Modified.


Export to CSV
You can export a list of project details by clicking the Export to CSV button in the top right corner of
the documents list.

Edit
Edit the document by clicking on the ellipsis and
selecting Edit. For more details see section Creating

Send Email
Send your document to your client or manufacturer
by clicking on the ellipsis and selecting Send Email.
Add one or multiple recipients, add a subject line, and
include a message.

Details
The Details tab contains the Project Info, Property Owner details, and associated Scope report.

Project Info
Edit the project info by clicking on the pencil icon. Fields include: Project Name, Project Address,
Quote Number,Claim/Reference Number, and Structures.
Property Owner
Edit the property owner by clicking on the pencil. Fields include: Name, Email, and Phone Number.

Create New Document
Click the Create New Doc button to start a new document.
1. Select the Document Type
From the Document Type drop-down menu, select Quote or Material Purchase Order.

2. Enter a Document Name
Enter the document name, typically the property address or the home owner's name.

3. Quote Number
The Quote number will automatically generate Q for Quote or MPO for Material Purchase Order, followed by the
current year, and the document number.

4. Claim/Reference Number (Optional)
Enter the Claim Number for insurance work or reference number for retail projects.

5. Associate a Report with the Document
You can choose to associate a completed Scope Report with your document. This allows you to map the
various measurement data points (Total Squares, Eave LF, Ice Barrier, Etc) to individual material line items
within the Quote or Material Purchase Order.

Click Add Reports to reveal your My Scopes list. You can search by Address or filter by Scope Type. Each
report in the list will show the Scope Type, Address, Date Created, Square Count, Number of Buildings, and a
link to view the PDF.

6. Add the Property Owner Information
Click Add Property Owner. Select from your list
of contacts or Add New Contact.

7. Select a Template
A template is a pre-made list of materials that will auto-generate into the document. Click Change Template
and select from ProDocs Starter Templates or go to My Templates to select a custom template from your list.

8. Click Continue

Add Line Items - Quote
If you did not apply a template during the document set-up, you will start with a blank document.

1. Add a Category
Select a category from the list or create a new one.

3. Set the Quantity, Unit, and Price
The Quantity will automatically generate if you have associated a Scope report and mapped the item. If not
mapped, you can manually enter the value. Select the Unit associated with the line item. Enter the Unit Price
or click Edit for a more detailed calculation of price. See below. The Net Cost will automatically calculate based
on quantity and unit price Click the Ellipsis (...) to Add a Sub-line Note, Delete the Line, or Save Line as Default


2. Add a Line
You can Filter by Manufacturer or enter the name of the material below to Search All. If the material does not
appear in the list, you can add it by clicking the '+' button. Select the Report Type and the Calculation to Use to
map the line item to a Scope report data point. Click Add.

Note: Some materials will not have a calculation, in which case you can Skip this step.

4. Edit the Line Item
Add a Waste Factor. This will multiply the QTY by the Waste Factor and give you an Adjusted QTY, which will be
reflected above in the Quantity box. Add Labor Cost, Material Cost, Overhead, and Profit to calculate the
Adjusted Unit Price, which will be reflected above inthe Unit Price box. You can choose to Apply Markups and
Discounts to Item, which applies values added in the Taxes & Markups section to the total cost of the line item.
See section Taxes & Markups. You can also choose to Hide the Unit/Net Pricing Columns on the generated
document.

Add Line Items - Material Purchase Order




If you did not apply a template during the document set-up, you will start with a blank document.
1. Add a Category
Select a category from the list or create a new one.

2. Add a Line
You can filter by Manufacturer or enter the name of the material below to Search All. If the material
does not appear in the list, you can add it by clicking the '+' button.

3. Set the Waste Factor and Unit Converter
1. Enter your Waste Factor
2. Select your Conversion Units and Values, e.g. 1 SQ = 3 BDL
3. Select the check box "Round up to the nearest whole converted unit" if needed
4. Click Add a Line


4. Add Color and Unit Price

Manual Entry Method
You can skip mapping the line item to a report calculation and manually add all the necessary information.
Enter the Quantity, Unit, Manufacturer, Color, and Unit Price.
Click the Ellipsis (...) to Add a Sub-line Note, Delete the Line, or Save Line as Default
Clicking Edit next to the line to reveal Waste Factor and Conversion settings

Template Manager
Access the Template Manager
Access your templates from the Template
Manager drop-down menu at the top of page.
You can select from Quotes or Material
Purchase Orders.
My Quote Templates
You can easily switch between Quotes and
Material Purchase Orders once in the Template
Manager with the TemplateType drop-down
menu. This will list all your templates below.
You can search for a specific template by Name
or Owner Email using the Keyword Search.

Your list of templates will show the Name, Owner (Creator), Last Modified (Date & Time), and Share* status.
Clicking the ellipsis gives you the options to Edit the template line items, Download the JSON file, or Delete
the template.

*Share allows the template owner to toggle the share button on and off. When the share is on, a teammate
can download the JSON file. When share is off, the download feature is disabled.

Assign Default Quote Templates
You can assign a specific template for each Scope Report Type. Once a default template is assigned, your
Scope Reports will access the default template each time you generate a document.

Upload New Template
Clicking the Upload New Template button allows you to load a JSON file and save it to your list of templates.
Create New Template

To create a new template, you are first prompted to select the Template Type: Quote or Material
Purchase Order.

Enter a Template Name. This could be something in reference to manufacturer specific materials, retail vs
insurance, or simply scope of work. Example: Owens Corning Retail Roof and Gutter

Next, select the Scope Report Type: RoofScope, SidingScope, etc. Selecting one or multiple report types will
pre-populate your template with categories for each trade and list general line items. Shown below are the
Siding line items. You also have the option to skip this step and start with a blank template.

Finally, you have the option to Select a Starter Template. This allows you to begin working with an already
existing template. Again, you can skip this step and start from scratch.

Create New Template
Line Items
When you first create a new template from scratch, you'll want to start in the Line Items section.
Structure 1 will already be created. You can edit the name of Structure 1 by clicking the Edit button.
If you have multiple structures, such as a detached garage or shed, you can click Add A Structure.

Add a Category
To begin adding line items, click Add A Category. You'll have several items to choose from. Select the
trade applicable toyour project (e.g., Roof, Siding, Gutter). This will give you a starting point. Selecting
Roof, will generate a Tearoff/Replaceline item. You can use/edit this line item, or delete it and click Add A
Line for a more customized selection.

Manufacturer Line Item
When you click Add a Line, you will be able to Filter by manufacturer and then search for a specific
material. Click on the material in the list to add it as a line item.

Custom Line Item
You can also create your own line items. Type the Name of your material and click the + button. This will
prompt you to select the Report Type and the Calculation to Use. Click Add to create and add the line item
to your template.

For Example: If you want to add a custom shingle type, you would add the name, click the +, select
RoofScope, and Total Squares. This will map your new line item with the Total Squares data point on a
RoofScope report.

Modify a Line Item
Once a line item has been added to your template, you can modify it in a few ways to best fit your business.

Quantity: Leave the Quantity at 0. It will automatically populate with each new project.
Unit: The majority of line items will already have a unit assigned such as Squares (SQ), Linear Feet (LF), or
Each (EA)depending on the material. You can adjust this from the drop-down if needed.
Unit Price: When first creating the line item, the unit price will be zero. You can add your own pricing on a per
project basis or enter a price and select Save Line as Default if you want that specific price across all your
projects.
Note: Manufacturer-specific materials will automatically generate the unit price based on the manufacturer's
pricing sheets.
Net Cost: The net cost is automatically calculated based on the Quantity and Unit Price.
Ellipsis: Click the ellipsis for options to Add a Sub-line Note, Delete the Line item, or Save the Line as Default.


Click Edit to reveal more detailed options.
QTY: The quantity is pulled from the Scope report. For example, Total Squares or Eave Length. This can be
adjusted below in the Calculate QTY From: section.
Waste Factor: Add a waste factor percentage to the line item
Adjusted QTY: The adjusted quantity is the QTY multiplied by the Waste Factor.
Apply O&P to Item: Check this box to apply the values you set on the Taxes & Markups page, or uncheck
the box to remove the values from this line item
Hide Unit/Net Pricing Columns: Check this box to remove the Unit/Net prices values for this line item
Labor Cost: This value is applied to the Unit Price.
Material Cost: This value is applied to the Unit Price.
Overhead: This value is applied to the Unit Price.
Profit: This value is applied to the Unit Price.
Calculate QTY From: This will show the Scope report data point used to auto-calculate the items quantity.
You can adjust this using the drop-down menus to change the Scope Type and Data Point. If you‘ve added
a custom item you must select a calculation in order for this to work.

Notes
Project Notes: Add project notes to appear at the bottom of your generated document.
Footer Notes: Add footer notes to appear in the footer of you generated document.

Taxes, Markups, and Financing
Add Tax
Add a new tax field by typing the name in the Custom Tax Field section and clicking the '+' button.
To apply a tax field to the current document, click on it in the list, then enter the value. You can choose
to apply the tax to the material cost only or apply it to a percentage of the total cost.
Check the "Save as default" box if you want to apply it to all documents that use this template.

The tax field will appear on the generated document under the subtotal.

Add Markup and Discounts
Markups will be added to the total before taxes have been applied. To save the value of a markup field for
future use, check “Save Default”.

Add Financing Options
Financing options will be added to the total after taxes have been applied. Finance options will be available on
the generated Quote pdf. To save the financing option for future use, check Save as default.

Template Settings
Display Options
Choose if you want to display the total Structure and/or Category Price on the document. Category will
display the price per trade, e.g. roof, gutter, etc. and Structure will display the total price of all categories.

Template Description
Enter a description of your template to stay organized.

Document Label
Click the pencil icon. Add a label such as "Quote", "Bid", or "Claim." Click the check mark to confirm. The
document label will appear on your Quote pdf.

Invoice Label
Click the pencil icon, Add a label such as "Labor Invoice" or "Project Invoice." Click the check mark to confirm.
The invoice label will appear on your invoice pdf.

Click the pencil icon. Select a contact from your list or add a new contact. Click the check mark to confirm.
Your company name and phone number will appear under your logo. You Name and Email will appear in the
Prepared By and Email fields.

Branding
Add your Logo and Color scheme to the document. Add new logos by clicking Change Logo. Change the color
scheme by clicking the color bar. Select your color using the color pick or entering the RBG codes. Click the
small arrows in the bottom right corner to switch to HLS or Hex code.

to the client's business rules.

point. These can all be adjusted, either on the
template itself or on a per project basis.

As a default, the company name, email, and phone
number will appear in the footer if this is left blank,
however, you can replace this with a custom footer
note (110 character max).
Taxes, Markups, & Financing

Taxes
Most clients will want to add a Sales Tax field,
which can be left blank and adjusted on a per
project basis.

Markups and Discounts
Most markups and discounts will be on a per
project basis, however, the client may want to add
and item to appear on all Quotes, such as a Permit
Fee.

Financing
If the client offers financing, the terms can be
entered here.

Save and Exit
Click Save Template, then Exit.

Assign Default Quote Templates
In the Template Manager page, scroll down to
the Assign Default Quote Templates section, and
assign the template you just created under
RoofScope. This sets the template to automatically
generate for any RoofScope report that is
imported into a new document.

What is ProDocs?
ProDocs is a Quote and Material Purchase Order generating software. It easily connects to your RoofScope
account to import measurement reports and streamlines the material estimating and ordering process.

How does ProDocs work?

material line items. You can add a waste factor, labor cost, overhead, and profit for each line item, as well
as apply taxes, markups, ordiscounts. Create templates to streamline your estimating and ordering cycle
and add your business information and company branding to create professional looking proposals.

How to Access ProDocs?
ProDocs is free software available with all Growth and Advantage Membership plans or L1/L2 Deposit plans.
Login to your account. Hover the mouse over the profile icon and select ProDocs.

Can I create a Quote without a Scope report?
Yes. ProDocs is designed to work seamlessly with your Scope Reports to save you time and money,
however, we understand that there are instances where you might not require a Scope Report for some
projects. Just click Create NewDoc to get started.

Is there a limit to the number of documents I can create?
There is no limit. You can even create multiple documents for the same job.

Can I include multiple trades (like roof, gutter, and paint) onthe same Quote?
Absolutely! That is one of the best features of ProDocs. You can save time by including multiple Scope
reports for the same property in one Quote.

How do I add a waste factor to a line item?
Choose the item you’d like to add a waste factor to and click Edit. Once in the Line Item Editor, you can
apply a waste factor, which will automatically recalculate your quantity for that line item.

Can I include labor, material costs, or overhead and profit(O&P)
to my Quote without showing them on the document?
Yes, labor, material costs, and O&P can be applied at the line item level which will calculate the Unit Price.

Can I add Markups or Discounts?
Yes, you can add Markups and Discounts to the total price in the Add Markups and Discounts section, or you
can apply them to specific line items by going to the line item editor and selecting Apply Markups and
Discounts to Item.

Can I include labor, material costs, or overhead and profit(O&P)
to my Quote without showing them on the document?
Yes, labor, material costs, and O&P can be applied at the line item level which will calculate the Unit Price.

Can I hide unit pricing?
Yes, within each line item, you can select Hide Unit/Net Pricing Columns on the generated document.

What is the purpose of a template?
In short, it saves you time so you are not recreating the same line items over and over for each job. Once
you have atemplate set up, you can create your Quote or Material Purchase Order in just a few minutes.

What is a default template?
A default template is one that you can assign for a specific Scope type (i.e. RoofScope, SidingScope,
GutterScope, etc.)so that whenever you generate a ProDoc from your My Scopes page, the default template
will automatically apply itself.You can then make adjustments to the document on a project to project
basis if needed.

What kind of access to my team members have to ProDocs?

Tip: When needing to share a template with your team, we recommend creating two identical templates
and turning off the shared feature on one so if a team member accidentally edits the template, you still
have the original.

How to add Trademark, Registered Trademark, and Copyright symbols?
Click on a line item and use the following keystrokes.
