Focus on Report Writing

What does ‘report’ mean? The word ‘report’ is derived from the Latin ‘reportare’ —‘to bring back’. It has evolved to mean that the gathered information is unbiased and evidence-based.

What does ‘report’ mean in modern English? A piece of factual writing , based on evidence, containing organized information and/or analysis of a particular topic. A major form of technical/business/professional communication.

Examples of reporting in daily life A nurse at the hospital reports to the doctor in the inpatient ward about the condition of each patient. A supervisor , at the end of the day, reports to the manager the progress of the work carried out in his/her supervision.

Examples of reporting in daily life The manager of a bank sends a periodic report to the head office on the state of deposits, advances, overdraft limits, etc., during the period. Another manager posted in a remote rural area reports to the head office about the difficulties faced in sanctioning loans to farmers.

Importance of Reports Reports enable decision-making and problem solving in organization. Reports help the authorities in planning new ventures Reports are an important means of information dissemination within and outside the organization.

Objectives of Reports Present a record of accomplished work (project report) Record an experiment (primary research report/laboratory report) Record research findings or technical specifications (a report on the details of a new product)

REPORT FORMATS Manuscript Memo Letter Pre-printed form

REPORT FORMATS 1.Manuscript format: Commonly used format and generally used for formal reports. The length can range from a few pages to several hundreds. Can be used for all types of reports —informational, analytical, etc.

REPORT FORMATS 2. Memo format A report sent to somebody within the organization will be in a memo format. The analysis, conclusions, and recommendations are included in the main text part of the memo. A memo report is written on the letterhead of the organization.

REPORT FORMATS 3.Letter format While sending short reports to outsiders, one can opt for a letter format. Besides all the routine parts of a letter, these reports may include headings, illustrations, and footnotes .

REPORT FORMATS 4.Pre-printed form: Reports contain routine matter and periodical in nature may be written in a form prescribed by the organization. The employee needs to do is to fill in the blanks in a pre-printed form. e.g. a report presenting the performance assessment of an employee.
