Bad News Letter

This is an example of a bad news letter that I have written. It was to the president of Greene Community College after they had written to my company, Info-Tech, asking if our venue was available to hold their graduation ceremony. I had to inform them that we were unavailable as well as provide other options for them to look into.

Dear Jim:

Thank you for your interest in hosting your Spring 2011 graduation at our facilities
once more. We have loved hosting your event in the past and look forward to always
having GCC alumni joining our team every year.

This year our company-wide sales meeting which will be bringing all 200 sales
representatives, many of them GCC alumni, as well as their families to the InfoTech
grounds. It, unfortunately, happens to fall on the same date as your graduation. Due
to parking and building constraints we will not be able to host graduation this year.

I took the liberty of finding two other locations for you that are available on this date.
