WELCOME

Here are the most basic instructions needed to get started with operating the Blue Cherry
system here at Eileen Fisher as a Global Sales Assistant (or any other sales position).
Please be aware that Blue Cherry has various complexities that one simply cannot just teach in
a manual alone. Some processes require trainees to learn as they go. This manual is to be used
as a reference for information, a guide to help you maneuver the necessary tools required to
access common information like:
 Customer Account Codes
 Order History
 Selling Reports
 Projections
 Shipping History
 Product Pricing
 Style Numbers according to Season
 Fabric Information and more
Within this guide you will have tools that explain how to read a style number, how to locate
information on the navigation pane within the Blue Cherry application, all along with visual aids
to simplify your learning. Always remember to ask questions when you are confused or unsure
of yourself. A simple mistake could disrupt the system, since it is live and running. “Fast is slow,
and slow is fast”. This simply means take your time trying to learn, all information is not to be
digested all at once, like a meal. Overtime with practice, you will be performing at optimal
speed because you organically learned the system.
One person whom will be vital to your performance on Blue Cherry is Sylvia Acosta,
Operational Sales Support Assistant. She sits with the Sales Operations Team on the 11
th
floor
as well. Be sure to ask questions via email if possible, in case she is busy. If she has free time,
feel free to walk over and ask her questions about things you may not understand. Remember,
be aware of your surroundings, if someone looks busy, ask if they are free, and if they are not
free, shoot over an email in the meantime until they are ready to see you. Good Luck and enjoy

STYLE NUMBERS

Reading style numbers at first may seem difficult, but once you get the hang of it, reading will
be like second nature to you. (See below for an example on how to read style numbers at EF)

STYLE NUMBER BREAKDOWN

1. SEASON: These first two characters indicate the season a specific item belongs to.
{Example: F5= Fall 15’ Collection (Fall 2015), S5= Spring 15’, R4= Resort 14’ and so on}

2. FABRIC: This portion of the style number indicates the FABRIC CONTENT the item is
made with. This part of the style number can range from 2-3 characters. Here in the
example style number, MEL = Fine Merino Linen is listed as the fabric content

3. CLASS: Class indicates what type of silhouette this item is. For example: T= TOP,
S=SKIRT, J=JACKET, K= CARDIGAN and so on. For this example, in F5MEL-K3318M,
K=CARDIGAN, which tells us in Blue Cherry that this item is in fact a Cardigan. You can
find the detailed list of Class names within Blue Cherry (you will learn how to do this
later on in your training, or see RED TEXT at bottom of page if you are anxious  )

4. DESIGN NUMBER: This portion of the style is unique to the specified item, not just the
items class and fabric type. In Blue Cherry, each style will have a design number unique
to the specific item.

5. DEPARTMENT (DEPT): Department or (DEPT) in Blue Cherry indicates which particular
collection this item is a member of. Here at Eileen Fisher we have three Departments for
our apparel styles:

a. MISSY
b. PETITE
c. WOMEN’S (PLUS SIZE)
Missy is our general collection; the others are specialty departments in regards to the sizing and
fit of the collection addressed.

STYLE MASTER REFERENCE

Style Master Reference will be a common feature used while operating the Blue Cherry system,
especially for any Sales role. Style Master will be the feature used to search on a style, check
details on the content of fabric, and check to see if a style is active within the system. Style
Master Reference can be used to do thousands of tasks, but one of simplest tasks will be
searching on a style number.

1. OPEN STYLE MASTER REFERENCE WINDOW





a. Hit “Reference Tables”
b. Hit “Style”
c. Then hit “Master

You are successfully in the Style Master Reference window, free to search! Next step is
entering style information within the appropriate option fields within Style Master.

Back tracking to our example Style Number, let’s do a practice search. Now that the Style
Master Reference window is open, you can research this specific item in Blue Cherry.

2. OPEN THE “FIND” OPTION
In Style Master, click the Binoculars icon to open up the search fields in your window.
[CTRL + F] is the keyboard shortcut to open up the “Find” option in Style Master. ONLY if
the Style Master Reference screen is open, can you use this option. This shortcut WILL
NOT WORK if you are in the general home area of Blue Cherry)

3. ENTERING SEARCH INFORMATION
Now that you have initiated the “FIND” option, you now can enter the style information
into the “STYLE” field box.
You will use the “STYLE” text field to enter the style information you have been
provided. Enter the style number from above either by typing it into the text field, or by
copy & paste into the text field box.










4. APPLY THE “FILTER” OPTION
Once you have entered in the style number, you can now use the “APPLY FILTER” option to
initiate search for basic information on the style.
In Style Master Reference window, click the Pen & Paper icon to apply the search filter.
[CTRL + S] is the keyboard shortcut to initiate the “Apply Filter” option in Style Master, ONLY if
Style Master Screen is open. This shortcut WILL NOT WORK if you are in the general home area
of Blue Cherry.

Once you have applied the filter for your Style Master Reference search, you will now see the
information retrieved from the Blue Cherry system, based on what style number information
you have entered. The image below is how your screen should look after you have successfully
applied the search filter for a valid style number:

Now that you have the information on your style number, you can go further in detail about
your item’s fabric content, class, department and more.
In order to read this information that you have uncovered through your search, you must read
each field and the information within them.

UNDERSTANDING STYLE MASTER REFERENCE (MAIN SCREEN)

Here are some of the text fields that will be of the best use when looking into the details of an
Eileen Fisher item:

1. Act: This field indicates whether this style is ACTIVE within the Blue Cherry system for selling, or
if the item is NOT ACTIVE
a. Y= YES, it is active
b. N=NO, it is NOT active

2. SEASON: This indicates what collection season this time belongs to. In reference to the example
image, this item is from Season F4 Collections.
F4= Fall 14’ or Fall 2014 S5= Spring 2015 R6= Resort 2016

Here at Eileen Fisher we only have three (3) seasons:
a. FALL
b. SPRING
c. RESORT

3. RETAIL PRICE: Price the item should be selling for at retail level

4. F/E/S: This is in reference to what group this item is classified as within a collection.
a. F= FASHION
b. E= ESSENTIAL
c. S= SEASONAL BASIC

5. FABRIC: SEE FABRIC: (Click Hyperlink, if printed, see “STYLE BREAKDOWN” section)

6. CLASS: SEE CLASS (Click Hyperlink, if printed, see “STYLE BREAKDOWN” section)

7. DEPARTMENT: SEE DEPARTMENT (DEPT): (Click Hyperlink, if printed, see “STYLE
BREAKDOWN” section)

8. SIZE CODE: Refers to the sizing specifications for this style. This code explains what the sizing
styles are for this item

9. CONTENT: Describes the fabric content of style, similar to the field “FABRIC”

“LOOK UP” FUNCTION IN STYLE MASTER REFERENCE

There are many other fields on the Style Master Reference screen that can be helpful at times,
depending on your task. If you are interested in having more information in regards to a
directory like listing for each text field, you can hit “F2” when your cursor is within a specific
text box. Please see the example(s) below to see what“F2” can do within a text box on the Style
Master screen.

F2: The button to hit when you would like to see a directory listing of all the
possible types of codes a certain field areas contains. This directory listing screen is
called “LOOK UP”

LOOK UP FUNCTION (continued)
Many other text fields can apply the F2 function for directory “LOOK UP” listings in Style
Master. You may come across a few text fields that DO NOT show the Look Up screen because
extra information may not exist for that particular category field.
At the very bottom of the Style Master Reference screen, there are several other tabs of
information that exist. These ADDITONAL TABS in the Style Master screen give the user detailed
information in regards to:
 Items ranges available for a style, ranging from XXS to XXL
 Sizes currently available for selling in style (if a size is sold out, availability is no)
 When style will ship to stores (based on “Delivery Code” classification)

SIZE ALLOWED
Size Allowed explains what sizes this particular style allows for the collection. Below in the
visual aid, you can see that most sizes are available, EXCEPT for XXL. These size ranges are
applied to each department which includes: MISSY sizes, PETITE sizes, and PLUS sizes.

SIZE AVAILABILITY

Size availability refers to which sizes this product currently has available to sell in this style. Just
like our previous section, this style does not carry XXL.




DELIVERY CODES

Delivery Codes are extremely useful. These codes help users understand when this particular
style is set to be shipped out to customers for retail sales floors. Each collection season has four
windows for shipping.






For shipping windows, you can find out when certain seasonal collections are designated to be
shipped out to customers. See the shipping window classifications on the following page. This
will give perspective on how shipping and seasons work together.

SHIPPING WINDOW KEY

BLUE= Spring Collection ORANGE= Fall Collection GREEN= Resort Collection
DELIVERY SEASON, MONTH (Ex: S-1= Spring, Month 1)

LIMITED INFORMATION SEARCHES

Most searches for information used internally within the EF Sales office are a bit easier than
searches made at the request of customers. Sometimes, customers may want to re-order
certain styles, but the only references they provide on the style number are extremely vague
and/or unclear. You must find one or more of the following criteria to narrow your search:
SEASON and YEAR (Ex: Spring 15 = S5)
FABRIC
CLASS
STYLE #
DEPARTMENT
For example, let’s say a customer emails you in regards to a re-order. Read the information
provided on the style for re-order below (let’s pretend the season currently retailing is Fall 14):

“Hi Will,
Do you think we can get another order in the MEL Long Cardigan, Missy? If you could do that
for us, it would be greatly appreciated. Thank you!”

In this example, the only information that seems to narrow down our search criteria is:
FALL 14- is the current season, which means this style number will begin with F4
MEL- is the fabric code for this style (2-3 letter code)
CARDIGAN- is the class code for this item, (K), and the unique description is LONG CARDIGAN.
MISSY- is the department, which is code (M). This code will show at the end of style number

With this information we can get an idea of what the style number may look like:
F 4 MEL K ? ? ? ? M
SEASON YEAR FABRIC CLASS STYLE # DEPT

STYLE WILL READ: F4MEL-K_ _ _ _ M

LIMITED INFORMATION SEARCH: SPECIFIC CRITERIA

Although our final read of the style number is not complete, we have room to dig in our search
in Style Master Reference. See below on how to find this style.

1. OPEN “FIND” OPTION
(See STEP 2: if printed see “STYLE MASTER REFERENCE section at beginning of manual for
“Find Option” step)

2. ENTER SEARCH INFORMATION
(See STEP 3: if printed see “STYLE MASTER REFERENCE section at beginning of manual for
“Enter Search Information” step)


Once you have opened the find option screen, you will now enter the limited information.
Before entering the limited information you must first insert the asterisk (*) symbol at the
beginning of text field. Now you may enter your limited info, then put asterisk (*) symbol at the
end of text field. Please see example below for additional help. (Ex: * F4MEL*)




3. APPLY FILTER
(See STEP 4: if this manual is printed, see “STYLE MASTER REFERENCE section at beginning of
manual for instructions on how to use the “Apply Filter” step)
Once you have successfully entered the style information that we sorted out from the email, we
will now have several style numbers returned in Style Master Reference window under the
“Search Results” tab.
Since we only used some of the criteria found within the customer email, now we must use the
process of elimination. The remaining information unidentified from the style number is
everything in red. F4MEL-K ? ? ? ? M

The highlighted information in yellow indicates we have used this bit of information for our
Style Master Reference search. Since we do not have the four-digit unique Style Number, that
information is of no use to us. The information that is still available to narrow our results
returned are:
CLASS- we know this item is a Cardigan, so the class code will be (K)
DEPT- we know for this item, the department is Missy, so the department code is (M)
ADDITIONAL- we know this item has a unique name as a LONG CARDIGAN

From the visual aid below, we can search for results that include the word “LONG” in the name,
“M” for Missy at the end of style number, and “K” for Cardigan in the second half of style
number. (The letter following behind the hyphen “-“sign)
In the visual below, we have only several results containing the word “LONG” in their name.
Now our search criterion is narrowed down from 17 possible styles, to a total three (3).
Since all three results are LONG CARDIGANS, now we can look for the item that belongs to the
Missy department, (M). After applying the last bit of search information we have left, only one
result matches our criteria. F4MEL- K3381M

LIMITED INFORMATION SEARCH: SPECIFIC CRITERIA (continued)
With limited information searches, you can search with more than one criteria type as well. This
also depends on if the information was provided to you. If you would like to simplify the search
process, you could also search collectively by: SEASON, FABRIC, CLASS, and DEPARTMENT.
In order to search with multiple codes, using the “STYLE” text field box, you must put an
asterisk (*) symbol in between the pieces of information you enter. Let’s use the style
information from our previous example: F4MEL-K ? ? ? ? M.
You will enter the available information from this style number like this:
*F4MEL*K*M*


You must begin and end searches containing limited information with asterisks in order for the
Blue Cherry system to search the information properly. If you do not enter the asterisks at the
beginning and end of field text, you may not get a simplified list of possible style matches.

SEARCH CUSTOMER INFORMATION

When looking for information on a specific customer, instead of actually inventory, you must
use a different screen besides Style Master Reference to return results. Read the following
steps to learn how to access the Customer Reference Screen:
1. Go to REFERENCE TABLES
a. Hit “Customer”
b. Hit “ Master”











2. Click Binoculars Icon or hit [ CTRL + F ] to open up “Find” Option in Customer Reference

3. Click on Text Field of choice to search on. Common Search Fields are:

a. Box 1- Customer Account Code Search
b. Box 2- Customer Name, Letter, or Letters Search (must use limited information
search steps if customer full name is unknown)
c. Text Fields with direct search terms
i. CITY
ii. STATE
iii. COUNTRY















In this example, you can see FEN* was typed in the Customer Name section to help search any
store names starting with the letter F-E-N. The Apply Filter shortcut can be used to find results.

REPORT LAUNCHER: ACCESSING REPORTS

1. Go to LAUNCHERS

a. Click “REPORT LAUNCHER”














While using Report Launcher, you will access certain reports more frequently han
others. After using certain reports, you can access them quickly by choosing either “My
Favorite Reports” or “My Recent Reports”. In the screen shot(s), you see the:
 4035A Allocation Summary report (inventory)
 2623 Open Order DTL-GL Distros by Style Report (sales history)
These two reports may pop up in your favorites after mild use, because they two reports
you will need most of the time to complete task work in Sales at EF. Be sure to check
your Favorite Reports and Recent Reports tab for reports you want quick access.

REPORT LAUNCHER: ACCESSING 4035A ALLOCATION SUMMARY

If you ever want to search what inventory we have available for re-orders, or just for keeping
updated on status of the warehouse, you will need to access the 4035A Allocation Summary.
See the following steps for accessing the 4035A report to search on inventory:
1. Go to LAUNCHERS on navigation bar (at top of screen)

a. Click “REPORT LAUNCHER”
b. Under Reports, hit “BASE REPORTS”
c. Then click “CUT & SOLD ( Horizontal Sizes Base) “
d. Search for 4035A ALLOCATION SUMMARY
e. Double-Click report name 4035A ALLOCATION SUMMARY to open report filters

You have now successfully opened the 4035A ALLOCATION SUMMARY filter screen!










Once the 4035A Allocation Summary Filter screen is open, you can begin searching for specific
criteria to see the status of inventory. Here in the sample screen shot above, limited criteria
search asterisk were used to search on inventory. *S5*P0696* translates to Blue Cherry that
the user wants to search for:
*S5*: SPRING 15’ Collection
*P0696*: PANTS, in the unique [0696] Silhouette
Since we did NOT include a fabric type or department, Blue Cherry will return items in:
ALL fabric types
ALL departments (Missy, Petite, and Plus)
ALL of the spring 2015 collection available inventory
ONLY in the unique PANT STYLE SILHOUETTE [0696]

Now that we have criteria entered, we want to view a report based on our search criteria. See
the next section to learn how to view the 4035A report from Blue Cherry.

REPORT LAUNCHER: VIEWING 4035A ALLOCATION SUMMARY REPORT

1. Once you have accessed 4035A ALLOCATION SUMMARY report, press START.













2. Next, a default screen will pop up. (Image shown below) Now you will hit email. This is
because you must send reports to yourself in order to view them.

3. Next, the next pop up screen following your click on “Email” is shown below.
You must enter your own EF email address so that reports are sent to you. This is the
only way to view reports from Blue Cherry.

(**Hint: I added a rule in Outlook that has messages sent ONLY to me from Blue Cherry directed into a
separate folder that I named “My Blue Cherry Reports”. Creating a separate folder for your personally run
Blue Cherry reports helps separate general Blue Cherry emails sent from EF staff in the office from your
own Blue Cherry report emails.**)













4. Now you must choose the file type under “Type” section. For 4035A reports, you MUST
view in a Portable Document Format (PDF) ONLY!!! Any other format will be difficult
(although not impossible) to understand. PDF is the format you must use to view 4035
reports correctly. After email is entered and Attachment type is picked, click “Ok”

5. Once you have pressed ok, Blue Cherry will give a message at the bottom of window
saying “Gathering Data”.

Once the Gathering Data text disappears, a message will pop letting you know if the
report was created or if there was an error with the information entered as search
criteria.




When you get the “Email sent successfully!” pop-up screen, you now must check your
email for the report you just retrieved. The email will come from BC ADMINISTRATORS.
Open the report (which will be an attachment, in PDF format). Below is a visual of a
report returned report from the example information we used earlier [ S5TK-P0696M ]

REPORT LAUNCHER: UNDERSTANDING 4035A ALLOCATION SUMMARY

When you are asked to check inventory for a style, you will use the Total OTS Inv line to
determine how much of an item is available. You must read the style number and color to
determine which quantity belongs to what item. The text colors within the next paragraph
correspond with the text box colors on the screen shot below:















1. At the top of this report you will see:
a. USER NAME: person who pulled report, that being yourself
b. FILTER CRITERIA: here we used S5TK-P0696M as our search criteria
c. REPORT TITLE: We pulled a 4035A report
d. TIME: Time report was pulled, which will be at top right corner of page

2. Next, you will see column headers for Style, Color, Type, and Sizes. are some terms
within the report you will need to know how to interpret for your role:
















TOTAL Avail QOH: Total Quantity on Hand in the Warehouse/Factory
Total OTS Inv: Total Open-To-Sell Inventory *You will use this line to determine availability*

Total OTS Prod: Total Open-To-Sell Inventory currently in production at factory
Total Open: Total Open-To-Sell Inventory
WIP In-Trans: Total Inventory In-Transit to destination (items out-of warehouse)
SIZE AVAILABILITY: SIZES XXS-XXL

REPORT LAUNCHER: ACCESSING 2623 GL DISTROS BY STYLE REPORT
The 2623 GL Distros by Style Report returns information in regards to sales history, orders and
more. You can search reports by:
 Customer Name
 Style/Fabric/Class
 Season
 Delivery Code and more

1. To access the 2623 report, go to LAUNCHERS on navigation bar

a. Click “REPORT LAUNCHER”
b. Under Reports, Hit “SALES ORDER MANAGEMENT REPORTS”
c. Hit “SALES ORDER DETAIL (Base) “
d. Search for 2623 OPEN ORDER DTL- GL DISTROS BY STYLE

REPORT LAUNCHER: 2623 REPORT DEFAULT SCREEN

Below is what the 2623 OPEN ORDER DTL-GL DISTROS BY STYLE REPORT looks like by default.











ORDER STATUS: Indicates the status of order information you wish to be searched
ORDER LINE STATUS: Indicates the status of order production you wish to be searched
CONFIRMATION TYPE: Indicates if order is APPROVED (A) or BULK (B) **bulk is not approved
TOTAL QTY: Indicates quantity of order information you wish to search

(Should always be “>0 “which tells Blue Cherry that you wish to search on
orders with more than a quantity of zero items.)

This report will open up exactly the way you see the screenshot. You do not need to alter the
text boxes that come defaulted with values. If you need to alter these values, you can, but you
can also add information to them, this can help narrow report information returned in a report.

Common Search Criteria for 2623 Reports in Blue Cherry are:
 Style
 Season
 Order Delivery Code
 Fabric
 Customer
 Color
 Classification

Using any of these criteria filters helps to narrow down search information returned in a 2623
Report Format, which allows you to manipulate the information with Pivot Tables. Pivot Tables
will be explained a later on. The 2623 Report Filter Criteria use the same search concept we
used for Style Numbers in regards to LIMITED INFORMATION SEARCH:
Once you decide on the Filter Criteria that best fits your needs for information required in Blue
Cherry, you now must “Run” the report and send it to yourself.

PRACTICE SEARCH: 2623 STYLE REPORT

Let’s try to practice using the 2623 Report in a sample scenario. Let us use partial information.
In the example, let’s search for the *P0696* Pant Style in any fabric from the Fall 2015
collection. So the two filter areas we will enter information within are Style and Season. We will
NOT be altering any other default fields. First, open 2623 report using steps HERE.

Enter information within field box of choice. Here we put search criteria [ *P0696*] for 2.

Now, hit “Start” button to initiate report results for the 2623 Open Order DTL- GL 3.
Distros by Style Report.

Hit “Email” button to prompt process for Blue Cherry to run report and send the report 4.
to your email address.

Enter your EF email address within the “To” line. Then choose the Attachment type as 5.
“Microsoft Excel 97-2003 XLS” format. Then press “OK”











6. Once you have pressed ok, Blue Cherry will give a message at the bottom of window
saying “Gathering Data”.

Once the Gathering Data text disappears, a message will pop letting you know if the
report was created or if there was an error with the information entered as search
criteria.

When you get the “Email sent successfully!” pop-up screen, you now must check your
email for the report you just retrieved. The email will come from BC ADMINISTRATORS.
Open the report (which will be an attachment, in Excel format). Below is a visual of the
2623 report returned when opened in your (This example is shown with a special folder
that was created within the inbox of an EF employee):

REPORT BUILDER: ACCESSING/BUIDLING INFO FROM EXISTING REPORTS
Report Builder is an option used to pick through information that already exists in Blue Cherry.
The trick with Report Builder is that unlike Report Launcher, Builder can combine information
together, within one report. Report Launcher retrieves already existing reports; Report Builder
allows you the freedom to pick and choose information from various reports that you may need
on one spreadsheet, combined, hence the name Report “BUILDER”. Here is how you access
Report Builder:
1. Go to MODULES
a. Click “BASE MANAGEMENT”
b. Then hit “ REPORT BUILDER”









2. Default screen will be Modules tab. Click on “SALES ORDER MANGEMENT REPORTS”

5. Export list to Excel. In order to do this, you must right click on any report name, and
then hit “Export to Excel”. Exporting return reports makes searching for reports that fit
your needs a bit easier. Since there are thousands of reports, you could be searching for
a long time without filtering through results.

6. Once list is exported to excel, add a filter to the very top row of returned information
from you export in Blue Cherry to Excel. The filter row titles will be: Report Name, Type,
Creator, and Last Run (see below in red box)











7. Highlight cells [A1:D1], then click the “Data” tab in excel. Hit filter





8. Type keywords within “Report Name” filter necessary to find the most relatable report
for search needs.

9. Once you have filtered the excel sheet to your needs, find the report most useful to the
task at hand. Now you must find this Report using Report Launcher. See the below
paragraph for details.

Report Builder is something you may need to use in the future. For more help on how to access
a report you found useful using the Export to Excel step, please ask Sylvia Acosta for details.
Since this manual is just to help you get started on the basics to best perform your role here at
EF, please note that some sections may not go into detail due to the large scope of steps
needed to retrieve certain information. 

SALES ORDER MAINTENANCE

Sales Order Maintenance will be the area in Blue Cherry that you utilize for Projection Entries.
Below is visual of how to get the Sales Order Maintenance Screen for Projections:
1. Go to MODULES
a. Click “SALES ORDER MANAGEMENT”
b. Hit “ SALES ORDER MAINTENANCE”

ORDER ENTRY MODE

Order Entry Mode is the default mode you will enter, after initiating the Sales Order Maintenance
Screen. Once you have opened the screen, you need to create a new order, hence the name “Order
Entry” for your default mode. See below for the steps to opening a New Projection in Blue Cherry:
Click the Paper Icon to initiate the “NEW ENTRY” option for Blue Cherry [CTRL + N ] 1.



Enter “01” in Field Box Div ALWAYS!!!!!! 2.

Type: Enter “PRJ”” 3.
Season: Enter the season for your projections. Above it is Resort 2015, R5 4.
Purchase Order: Enter “GLO PRJ MONTH__” The month number will be either 1, 2,3 or 4 5.
Customer: Enter “GLO” for GLOBAL 6.
Start Date: See Shipping Window Key. Depending your season of data entry, it will vary 7.
End Date: See Shipping Window Key. Depending your season of data entry, it will vary 8.
Priority Date: This will automatically appear once you enter values in the Div field box 9.

Now you have completed the first steps for creating a Global Sales NEW PROJECTION!

ENTERING/ADDING LINE ITEMS

When entering style numbers in Order Entry Mode of the Sales Order Maintenance Screen, you
will need to add each style one-by-one. This is called “Adding a Line Item”. In order to begin the
Line Item Entry process, you will need the bottom half of the Sales Order Maintenance Screen.
Follow the next steps to enter a line item:
Click “New” under the Line Items tab, or click [ ALT + N]1.

Begin typing style number of choice for this Projection2.
Tab to move to the next field box. The second box after the first box is for the Style 3.
Color. Hit “F2” to choose a color from the style you chose. If only one color exist, hit
“Ok” and continue to tab until you reach the Size Breakdown Screen.

Under the Size Breakdown in the PROJ box, enter the number of units for your 4.
Projection

Once you enter units, continue to tab over all sizes XXS-XXL until you are greeted with 5.

Now your Style Number has successfully been added to a Projection in Order
Entry Mode.

CANCELING LINE ITEMS: EDITING

Sometimes a line item may be added to a Projection, but then there can be:
Style Changes
Style Drops/Cancellations
Data Entry Issues
Projection Units Increase
Projection Units Decrease
***IMPORTANT***
Whenever you are canceling/replacing Line Items, YOU MUST make sure that in “FIND” mode
you are specific as possible with your search!!!! This is because if too many results are
returned, any result that falls within your search will be changed too!!!
To cancel a Line Item you must do the following:
1.Click the line item within Order Entry Mode
“Action”. 2.Then click the drop-down under the word

3.Click “Cancel”. DO NOT CHOOSE CANCEL ALL!!! This is the same as zeroing out all
entered information.

4.After you click cancel, a screen will pop up with the Size Breakdown.















5.Under “Cancel Type” Enter “H” for house. You will always do this when cancelling line
items you have entered.

6.Under “Cancel Reason, hit F2 and choose a choice from the list


Here are some common Cancel Reason Codes and their meanings:

Data Entry Issue: You may have entered units incorrectly
Style Drop: The item you entered is no longer being used for the season
Style Change: A style number changed and you need to keep the number
of units for Planning/Allocation purposes
 Projection Cancellation: You are making a change to your entry due to
data you have on the Sales end

***FOR INCREASE/DECREASE IN UNITS, YOU WILL USE “PRJ” AS THE CANCEL REASON***

7.When your cancel reason is chosen, hit “Ok”. Now you may continue to hit tab until you
are returned to the Line Items Home Screen.
Now your line item has a Total Number of “0” units. This means you successfully
cancelled your line item.

INCREASING/DECREASING UNITS

When increasing or decreasing the number of units on an existing line item style, you must first
CANCEL the item. Follow the steps below to correctly adjust Line Items within a Global Sales
Projection:
1.Take the same steps as you would for just cancelling a Line Item. See “Canceling Line
Items” . ***The only difference with cancelling a Line Item because of an for this step
increase/decrease in units is that you will enter the cancel reason as “PRJ” for
PROJECTION CANCELLATION. Since you are altering your Projection, that means you are
canceling old numbers and creating new numbers. ***

2.Once you have successfully cancelled a Line Item, you click the Line Item once, starting
from the Entry Field for the Style Number. You will click on the area where the red box is
highlighting. Then you will tab over until you enter the “Size Breakdown” screen.

3.Within the PROJ section of the Size Breakdown screen, you will then enter the new
desired quantity for your style.

4.Once you have entered your new quantity, continue to tab over until you are returned
to the Line Item Home Screen area. Your new units are now reflected on your Line Item.
The Style, Color, and Price stay the same across the Line Item row.

MASS CANCEL/REPLACE

When altering a style just by a few letters, you can use MASS CANCEL/REPLACE. See the
following steps on how to change a style number with MASS CANCE/REPLACE:
1.Click Line Item to be changed
2.Under Action, click “Mass Cancel/Replace”

3.Once the Mass Style Cancel/Replace Screen pops up, under “REPLACE SKU” change the
Style Number to the correct/new style number.
4.Under Cancel Type enter “H”
5.Under Cancel Reason, hit F2, choose “STYLE CHANGE”
6.Hit Ok.















YOU HAVE NOW SUCCESSFULLY CHANGES A STYLE NUMBER FOR A LINE ITEM
