For the purposes of better tracking, ALL KCI VAC orders will now be placed through KCI Express
exclusively. This guide explains how to navigate the KCI Express ordering system.
You can access the KCI Express login screen from the KCI main page (www.kci1.com) and left-clicking on
the green shopping cart buttonon the right upper corner of the screen.

This will take you to login screen where
you enter your name and password.
Once you have successfully logged in, the first screen you come to has a list of the current KCI
Express patients. This page also contains the site navigation options. The options that you will
most likely use are discussed in detail below.

Patient Listingcontains a list of all the patients who have KCI VACs that were ordered through KCI Express. KCI
VACs that were ordered on paper are not included on this list. This page contains much of the information that we
normally would have to call KCI for, the most important one being the "Status" option.
Ready Care Inventoryshows how many Ready Care VACs the wound center has in stock. This is useful when
ordering a VAC for a surgeon to place in the OR.
Pickup/Dischargeallows you to discharge the VAC and request VAC pickup.
Rental Orderis where you will place your patient order for a wound VAC. Click on this option to initiate the
ordering process.

The "Patient Info"screen which is where you enter the basic patient information: name, DOB, address, etc. If the permanent
address is the same as the current address, there is a box you can click to automatically complete those fields to save you from
having to enter the information twice.

The "Payer Info"screen is where the insurance information is entered. It is important to be as specific as possible.
Make sure to include additional insurances when applicable.

You can also enter emergency contact information
here. This is useful if the patient is living with a
family member or if they are not making their
own healthcare decisions.
The RED ASTERISKS (*)
denote areas that are
REQUIRED be completed.
Use the navigational buttons to get around the KCI Express website.
The BLUE ARROWS (^)
denote areas that are
RECOMMENDED but
NOT REQUIRED to be
completed for order
submission.

The "Product Info"screen is where you select which wound VAC product you want to order for the patient. In
most cases you will select the "VAC ActiVAC"option.

This is also where you enter whether you
need a Ready Care VAC (one from the
wound center) or a VAC delivered to the
home by left-clicking on the appropriate
radio button.
In most cases, you will select the "No"
option but if you are ordering a wound
VAC for a patient who is having same day
surgery and the surgeon wants to apply
the VAC in the OR then you MUST select
the "Yes"option.
It is important to select the right option but fortunately KCI Express provides a check at the end of the ordering
process for you to make sure that you have ordered the right type of VAC for your patient. If you realize you
have made the wrong selection you can always go back to the "Product Info"screen to make the correction.
You will see this if you choose the "No" optionYou will see this if you choose the "Yes" option
Once you have selected the type of VAC you want, you will be taken to a screen where you can select
the dressing supplies you want to send with the VAC.
Most of the time you
will be fine selecting
the option to send
the "standard
accessories"but you
can customize your
supply order by
selecting the
appropriate supplies
from the listed
items.
This would be
appropriate if you
know that your
patient is going to
require white foam
or a bridge dressing.

The "Clinical Info"screen is where you will enter the clinical provider information.6. The KCI Express system automatically
defaults to the wound center being the
clinical provider, however this needs to
be changed to the HOME HEALTH
COMPANY who will providing the
dressing change services in the patient's
home.
This is done by clicking the "Clear
Selection"button and entering the
home health company in the
"Organization Name" section.
This is important so that KCI has an
alternate way of getting wound
measurements, especially in the cases
of patients who are seen on a biweekly
basis.
The wound center should be listed as
the clinical provider ONLY if the patient
CANNOT get home health care.
The "Clinical Info"screen is also where you enter the patient's wound history and wound type.
In this section, you can
note that you will fax
KCI the pertinent
documentation
instead of completing
this section.
This is generally best
because this provides
KCI with a more
complete picture of
the patient.

Here you are
documenting the
PRIMARY wound
type.
If the patient has
more than one wound
that you are going to
be applying the VAC
to, choose the one
that is most likely to
be approved for
coverage.
The "Wound Info"screen is where you will document the assessment of each wound
that will be receiving wound VAC therapy.

The "Rx Info"screen is where you document the prescription and prescriber information. This is also
where you will note whether or not you want your prescriber to submit an E-signature for the
prescription.

An alternative to the E-
prescription is using the KCI
prescription pad to obtain a
physician signature at the time
the KCI VAC therapy is ordered.
The signed prescription can be
faxed to KCI initiating the order
process. The full order can be
submitted through KCI Express
when time permits.

This method allows the case
manager to get the physician's
signature without having to
wait until the order is
submitted. This prevents delay
of VAC approval due to lack of
physician signature.
The signed prescription, should
be filed in the patient's chart
with the printed copy of the KCI
VAC order.

The "Delivery Info"screen where the delivery location is specified. This section is
prefilled with the patient's current address, however this can be changed by left-clicking
on the dropdown menu and entering an alternate address.

The "Summary/Submit"screen is where you can double check all the information you have entered before
submitting the order.
10.
The GREEN CHECKS () denote areas that have been
completed properly.
The RED ASTERISKS (*) denote required areas that are
REQUIRED to be completed before the order can be
submitted.
The BLUE ARROWS (^) denote areas that are RECOMMENDED
but NOT REQUIRED to be completed for order submission.
Click here to change the delivery address.
Make sure that the delivery contact knows to
expect a phone call from both KCI and the home
health company.

You can also opt to receive email notifications about order status, if you do not wish to login into KCI Express to check
on order status. Once you have reviewed everything for accuracy click "Submit Order"to send your order to KCI for
approval.
