Managing Your Medcan Program
GETTING STARTED
Your account manager will send you welcome packages for delivery to the employees participating in the Medcan program.
After you have shared the welcome package and discussed the Medcan benefit with the employee, a Medcan Client Service
Specialist will follow up with a call to the employee to book their first appointment, discuss any individual needs or requests,
coordinate scheduling or answer any questions they may have. Please advise your account manager if you would like the
Medcan initial contact to take place at a specific time.
myMEDCAN
myMedcan is a secure online portal that lets your employees book or change appointments, and see their appointment
records, test results and upcoming referrals all on one easy to access resource. Your employees are first introduced to
myMedcan with their first appointment or Annual Health Assessment.
MAKING CHANGES TO YOUR PARTICIPANT LIST
If one of your employees becomes newly eligible for Medcan benefits (a new hire or a promotion) please let your account
manager know. This will ensure the employee will receive a smooth welcome at Medcan.
To add a participant, please contact your account manager with the participant’s information including name, title, phone,
email, and date of birth. If they have an existing file at Medcan, this will ensure continuity of care and that all their information
is up-to-date. Depending on your specific program, further steps may be needed. Please refer to your introduction letter for
plan-specific renewal details.
CORPORATE RATE FOR OTHER EMPLOYEES
We extend the corporate rate to all other existing employees, their spouses and retirees of your company should they
wish to return privately. If you would like to inform them of the preferred rate they have, contact your account manager for
assistance in this communication.
REMOVING ELIGIBILITY
If a participating employee has left the company and is no longer covered for the Medcan benefit, let your account manager
know the effective date as soon as possible so all billing will be directed to the correct payee. If the participating employee
has retired, please include this information so we may honour the corporate rate.
RENEWING ELIGIBILITY
Renewal policies are different for each specific program. Please speak with your account manager on the details of your
program or refer to the welcome letter detailing your specific program.

TRACK YOUR COMPANY’S PARTICIPATION AND SATISFACTION: REQUEST AN ACCOUNT REVIEW
A corporate review of your program is a great opportunity to review specific trends, usage, feedback and even overall medical
trends. This is also a great time to learn more about what enhancements Medcan has initiated that may benefit your program
and address any specific needs for your program and employees.
Medcan can share a customer satisfaction score and any survey responses at an aggregate level. Medcan can also share what
additional services your employees chose to participate in. Your account manager may also be able to share with you overall
trends over the last 12 months if you have at least 40 participants in your Medcan program. Please ask your account manager
for more details.

HOW TO ENCOURAGE PARTICIPATION
As you approach the end of your annual term, your account manager can share with you who has not come into the clinic,
and advise you on how to encourage participation. To proactively encourage usage and this benefit we suggest you: ■
■Walk through the welcome package and emails with your employees. This helps the on-boarding process of understanding
and appreciating the Medcan benefit.■
■Have face-to-face conversations with your employees to ensure the Medcan benefit is understood before the Medcan
Client Service Specialist contacts them. This helps to emphasize the value of the benefit.■
■Send quarterly, biannual or annual reminders encouraging engagement to renew interest in Medcan services (your
account manager can provide samples to work with).■
■Host an information session led by your account manager to allow your employees to ask questions or learn more about
the Medcan benefit, which often optimizes participation. We can provide a poster communicating the in-office event.■
■Host a Lunch & Learn with a Medcan expert.
■■Encourage your employees to sign up for the Medcan monthly email newsletter at medcan.com.
FLEXIBLE HOURS AND VALET SERVICE
Medcan provides flexible options for the convenience of your employees. Your employees can split up the Annual Health
Assessment to two shorter visits, can visit Medcan in the early evening and on Saturdays, and for an additional fee, we have
valet service during the weekday to make the visit as hassle-free as possible.
TRANSFERRING COVERAGE
Depending on your program, you may also advise your employees that they can transfer coverage to a spouse, partner or
other family member; or you could transfer unused coverage to other employees.

Annual Health Assessment
The Annual Health Assessment gives your employees a complete picture of their current health. It also helps identify risks
they may face in the future, so they can begin to proactively manage their health.
The assessment includes:■
■Up to 15 diagnostic tests.■
■In-depth physical exam, cardiovascular assessments, fitness and nutrition evaluations, plus gender-specific tests.■
■Same-day results of full panel blood and urine analysis from our on-site lab.■
■A face-to-face session with a Medcan physician to review results and discuss possible areas of health improvements.
The physician consultation is one of the most valuable aspects of the Annual Health Assessment. During this time, your
employee and the physician will discuss areas of health that can be improved upon through changes in lifestyle, as well as
those that may require further medical attention.
The Annual Health Assessment provides a complete evaluation that goes deeper and broader than the traditional yearly
check up. Diagnostic tests and consultations included are as follows:

PHYSICAL EXAM AND VITAL SIGNS■
■An in-depth physical exam & consultation. From measuring vital signs to reviewing family history,
the physical exam is an opportunity to discuss any current concerns.■
■A vaccination review. If your employee has an unclear immunization history, the nurse or doctor will
discuss screening and vaccination options. Immunizations can be provided same-day at Medcan.■
■An abdominal ultrasound. This examination gives the Medcan physician a clear view of the
pancreas, gallbladder, kidneys, liver, spleen, and major blood vessels, helping to ensure that all vital
organs are healthy.

CARDIOVASCULAR HEALTH
It is important to learn about the heart to help prevent or treat heart disease. There are several critical
components of our assessment that will contribute to your employees’ cardiovascular health.
■ ■ The 12-Lead Electrocardiogram and exercise stress test. For those over 35 to evaluate heart
function and check for any evidence of heart disease.
■ ■ Respiratory function to measure lung capacity. Check for evidence of airway restriction, asthma,
and emphysema.
■ ■An Ankle Brachial Index. To test for hardening and narrowing of peripheral arteries
During the assessment, the physician will determine if further diagnostic Cardiology testing is of value.
If so, it is available same day at Medcan.
FULL PANEL BLOOD AND URINE ANALYSIS
Full panel blood and urine analysis looks at a broad range of indicators for conditions such as heart
disease, diabetes, and kidney, liver and thyroid function. For convenience and peace of mind, same-day
results are provided and discussed with the physician, as well as with the registered dietitian as part of
the nutrition review. The indicators measured include:

TESTING YOUR HEARING AND VISION
■ ■ An audiometric test assesses hearing ability, and screens for any hearing loss or diseases
of the ear. If an issue is suspected, a more comprehensive hearing test may with the on-site
audiologist will be suggested.
■ ■ A standard eye exam tests the ability to see objects at near and far distances.
A comprehensive eye exam with an optometrist may be recommended if concerns arise.
If pre-booked, an optometrist eye exam can be completed at Medcan during your visit.
MEASURING YOUR FITNESS
There are three parts to the fitness assessment:
■ ■ Muscle and Joint Assessment. This focuses on functional movement, bio-mechanics and risk
of injury, and tests for strength and flexibility.
■ ■ Anthropometric Measurements. This evaluation integrates key measures such as waist-to-hip ratio
and percentage of body fat, both of which can give the insight you need to enhance your health
through improved body composition.
■ ■Cardiopulmonary Fitness. This estimated VO
2
max assessment measures how well the heart and
lungs function together to transport oxygen to working tissues.
ENSURING THE BEST NUTRITION
If your employees’ goal is to shed excess weight, lower their cholesterol or blood pressure, or simply
boost energy, changing eating habits can go a long way in helping them meet their goals. The
assessment includes a consultation with a registered dietitian, who will review eating habits, as well
as any nutritional concerns identified in the results of the assessment. Your employee will then receive
recommendations that address any specific issues and improve your overall health.
SOCIAL AND MENTAL WELL-BEING REVIEW
Mental health is just as important to overall well-being as physical health. The Annual Health
Assessment is an ideal opportunity to support health in this area. A social and mental well-being
consultation will be included in the assessment if your employee(s) express interest prior to the
appointment or if the responses to the preparation questionnaire indicate that a consultation may
be of value. We can help your employees explore the benefits of engaging a registered psychologist,
a coach, or a more structured program such as stress reduction.

FOR MEN
■ ■ Prostate-specific antigen test. Approximately one in eight men will be diagnosed with
prostate cancer in their lifetimes and early diagnosis is key. Using a simple blood test, we
will measure for Prostate-Specific Antigen, one of the best tools for the early detection of
prostate cancer. For men over 40.
■ ■ Bone Mineral Density Screening. Osteoporosis is not unique to women. If you’re 55 and over,
mineral density screening can identify your risk for osteoporosis by looking for thinning of bones
and future risk of fracture.
FOR WOMEN
■ ■ Mammogram. For women over 40, a mammogram is an important component of the Medcan
Annual Health Assessment (in Ontario, the guidelines recommend for women age 50 or over).
Early detection of breast cancer can increase the chances of survival, as well as reduce treatment
and recovery time. Some women may have dense breast tissue that makes the detection of
cancer difficult using a mammogram. In these select cases, an ultrasound is available by physician
referral to ensure proper diagnosis.
■ ■Gynaecologic Evaluation. Medcan offers a full evaluation of the female reproductive system,
including a pap test, pelvic exam, and, if the client is over 50, a transvaginal ultrasound.
These tests screen for cancer and infections or abnormalities of the cervix, uterus, ovaries,
and fallopian tubes. STD and HPV testing are also available.
■ ■ Bone Mineral Density Screening. For those 50 and over, mineral density screening can
identify any risk for osteoporosis by looking for thinning of bones and future risk of fracture.
Trends Tell the Story
An Annual Health Assessment visit every 12 months will help to establish any trends in screening tests that may indicate
future health risks to be managed proactively. On average, clients return every 12 to 18 months.

ADD-ON SERVICES TO CUSTOMIZE YOUR EMPLOYEES’ CARE
Your employee will have the chance to add on services to ensure their needs and interests are being met. Some services
are available the day of the assessment; other services can be scheduled on another day.
Here are the customized services that may be added at an additional cost or may require a referral from a physician:

CANCER RISK Colon Health. (When referred by a physician, the colonoscopy occurs on a separate day due the required preparation.)
Prostate Health. (Conducted day of the Annual Health Assessment.)
Skin Cancer Screening. (With advance notice, this can be done on the day of the Annual Health Assessment.)
CARDIOLOGY Cardiovascular Risk Assessments – three assessment types should be done on day of the Annual Health Assessment:
■ ■Carotid Intima Media Thickness Test (there is an age requirement for this test)
■ ■Advanced Cholesterol Test
■ ■Echocardiogram
Omega Score Risk Assessment (day of the Annual Health Assessment)GENETICS Genetic Family Risk Assessment. (Counselling session available on day of Assessment. Full session must
be scheduled at another date.)
Personal Genome Testing. (The testing can be added during the Annual Health Assessment, an additional
20 or 30 minutes, or it can also be a standalone appointment. Clients will be called about four weeks after
initial appointment for the review. The review can be completed in-person or by phone.)
Specialized Genetic Testing. (all of these can be completed on the day of the Annual Health Assessment):

■ ■Pharmacogenomics

Referral Network
Should a referral to an external medical specialist or other services or support be necessary, our team will work immediately
to help. Medcan has a dedicated referral team working full time coordinating referrals on your employees’ behalf. Your
employees do not need to spend their valuable time waiting on phone lines or chasing down appointments.
The Medcan referral team will help your employees get specialized care or follow-up visits with specialists both within and
outside of our Ontario preferred provider network of more than 1,000 physicians, many of whom practice on site at Medcan.
Our referral team books the appointment and then confirms the date and time with your employee.

Gain valuable insights specific to your growing child.
We know all children, even those within one family, are different. The Child & Youth Assessment provides you with specific
insights to parent, based on your child’s unique physical, social and emotional needs.
For parents seeking to understand their child better, but without specific health or development concerns, the Child & Youth
Assessment will provide tailored strategies to help the child reach their potential. This test is also appropriate as a first step to
evaluate and validate specific health and wellness concerns.
The assessment focuses on 4 key areas:

Evaluation by a Medcan physician and age-

Social Well-Being
Behavioural assessment by a registered psycholo-
gist to help your child thrive at home and school.

on hold to get that concern addressed.
Medcan has designed Year-Round Care as an annual membership service that provides your employee with timely medical
care and attention for everyday concerns in a way that best suits their situation. The singular focus of the Medcan Year-Round
Care team is to provide an unsurpassed level of service before, during and after a visit with a Medcan physician, whether that
visit is in our modern and comfortable clinic or by video.
At the centre of Year-Round Care is the ability to provide the option to see a Medcan physician same-or next-day either:
■ ■In-person at our convenient and comfortable downtown Toronto clinic, or
■ ■By video visit from the comfort of home, work or on-the go with no travel or wait time
Year-Round Care members receive support from a full medical team including:

VIDEO VISITS FOR YEAR-ROUND CARE
A jam-packed schedule in which your employees are balancing work, family and other activities doesn’t always allow them
to make time for a traditional doctor’s appointment. With video visits, they can see a Medcan physician live over a secure
video network via smartphone, tablet or personal computer for the same types of concerns they would address in-clinic.
Appointments are simply booked online or by phone, log in, and your doctor will be waiting to discuss any health needs.
Medcan physicians are able to resolve approximately 90 per cent of concerns through video visits. And our clients receive
the same level of privacy and service, including post-visit coordination, as they would with an in-clinic visit.

Members of Year-Round Care become automatic members of the International SOS Emergency Assistance Services, the
world’s leading medical and travel security assistance company. With one phone call, this travel assistance service connects
your employee to International SOS experts who will respond to any emergency travel situations with 24-hour assistance
anywhere in the world, including evacuation services when travelling outside of Canada.
Please note that the International SOS program does not take the place of medical and travel insurance, but will work with

JOHNS HOPKINS LIAISON SERVICE
If your employee is experiencing a more complex medical situation or would like a second opinion, they can take
comfort in our ability to facilitate consultation and collaboration with Johns Hopkins Medicine in Baltimore. The Johns
Hopkins Liaison Service allows your employee to seek a second opinion by consult in person or through the mailed
second opinion service, which involves the Medcan nurse coordination team mailing a client’s medical records and/or
imaging down to Johns Hopkins to be reviewed by a relevant specialist there. Your employee can also opt to have
additional tests, procedures or surgeries with Johns Hopkins.
Medcan clients receive a 10 per cent discount on any services purchased through Johns Hopkins.
SUPPORT FOR TRAVELLING EMPLOYEES
Medcan can support your employees’ needs before, during and after their travels. For your employees who travel frequently,
we can help with pre-travel consults, immunizations, or distance fitness support.
TRAVEL CONSULTS
Medcan helps your employees learn about the health risks that may be encountered when travelling and to find out how
to minimize or manage those risks. Our health-care team will provide pre-travel vaccinations when necessary and the guid-
ance and support to stay healthy during travel. All immunizations are done in-clinic. Medcan is a designated yellow fever
vaccination centre.
If your corporate plan includes Year-Round Care, your employees are covered for video visits and a nurse on-call available
24/7. The employee is also an automatic member of International SOS (global medical support) among other benefits. For
more details on Year-Round Care, please see previous section (pages 14-15).
FIT FOR ASSIGNMENT & SPECIALTY TESTING (HIGH ALTITUDE AND AVIATION)
If your employees travel to remote locations or are physically challenged for work, consider our Annual Health Assessment for
Fit for Assignment or Fit for Travel. Tests can also include high-altitude testing and/or aviation medicals. Where appropriate,
Medcan can complete necessary sign-off forms. Please contact your account manager for more details.
EXPATRIATES AND FAMILY RELOCATION TO CANADA
Medcan can assist in making the transition to Canada a little easier with health-care support. If your employee is not a
Canadian resident or does not have their OHIP set up yet, they can come to Medcan for an Annual Health Assessment or to
get Year-Round Care. There is a non-resident fee. Speak to your account manager for details.

For those employees new to Toronto who may be without a pediatrician or family physician, you may want to consider Year-
Round Care for those employees and/or families. See the Medcan Year-Round Care for Families section for details (page 15).
MEDICAL SUPPORT FOR THOSE OUTSIDE OF ONTARIO
Many out-of-province corporate clients prefer to wait until they are visiting Toronto to complete their Annual Health
Assessment. We are open on Saturdays and have arranged preferred rates with hotels within walking distance to Medcan
for their convenience.
Keep in mind, if you have national employees with meetings scheduled in Toronto, your account manager can help you
organize a “Medcan Day” for your team or a specialized educational session at the Toronto clinic.
For those Medcan clients who would prefer to have their Annual Health Assessment in their province, Medcan has
partnered with clinics across Canada to provide comprehensive health assessments with similar tests and level of service as
our Annual Health Assessment.
Medcan has affiliate clinics in Halifax, Quebec, Ottawa, Edmonton, Calgary and Vancouver. A Medcan Client Service
Specialist can help coordinate an appointment with your employee at an affiliate client and answer questions about the
differences. For your billing and administrative convenience, the invoicing can come from Medcan.
Please note that the specific assessments at affiliate clinics may vary from the Annual Health Assessment at Medcan. Please

you may have, and also go over any results. Same-day
results are unique to Medcan. Time-sensitive knowledge

Medcan is the only executive health facility in Ontario to offer
services for the whole family. Children aged 5 to 17 years are
eligible for the Child & Youth Assessment – which helps you
and your child better understand their unique qualities, and
ensure they grow in good health. We also offer Year-Round
Care for Families, which ensures your family receives urgent
medical care and attention for everyday concerns, whenever
and however is best for you.

The Annual Health Assessment takes place over
5 hours and includes up to 15 diagnostic tests
that cover all aspects of yourz health including
a physical exam, cardiovascular assessment, full
