Optional Parts of Business Letter

1. Attention Line This is needed if the business letter is addressed to a company rather than to an individual. Ex. ABC General Merchandise San Jose Street Virac , Catanduanes 4800 (2 Spaces) Attention: Miss Tess Munoz (2 Spaces ) Gentlemen:

2. Subject Line This is used to immediately inform the reader what the letter is about. Example: Dear Mrs. Sosito (2 spaces) Subject: New Office Policies

3. Enclosure Notation This is a reminder that there is an attachment. Example: JR (2 spaces) Enclosure: Check

4. CC Notation (Carbon Copy Notation) It shows that other copies of the letter are being sent to one or more persons other than addressee. Examples: JR Enclosure: Check (2 spaces) ( 2 spaces ) Cc: Office of the Principal Cc : Office of the Principal

5. BCC Notation ( Blind Carbon Copy) This is used if the writer does not want the reader to know that he is sending a copy of the letter to another person.

6. Post Script This part emphasizes the point made in the letter. This is typed two spaces below the last line of the letter. P.S. N.B.

7. Mailing Notation A note indicating the special postal service such as “registered or certified,” should be indicated on all copies of letter.

Letter Format and Punctuation Style

Format or Styles of Business Letters Full block style Modified block style Semi-block style Simplified NOMA

1. Full block style This style is the most used style because of its simplicity.

2. Modified block style This style is preferred by many letter writers. This kind of style makes a balance appearance of a letter.

3. Semi-block style This is almost exactly the same as the modified block except that the first line of each paragraph is indented.

4. Simplied NOMA (National Office Management Association) This type of style omits the salutation and the complimentary close.

Punctuation Styles

Open Punctuation. This uses no punctuation. Standard Punctuation. The salutation and the complimentary close are followed by a punctuation mark. Closed Punctuation. Punsctuation marks appear at the end of every line except the message.
