Overcoming Barriers to Communication

Use of Simple Language The Sender should keep in mind the receiver while choosing the words and phrases. The message should be sent in simple & easy to understand language. Chosen words should be appropriate to the level of receiver. Double meaning words like leave should not be used in the message. There should be least use of technical words like debugging .

Use of Feedback Feedback ensures that his message has been conveyed as he desired. Avoid asking listener, “have you understood,” ask them instead their views about what you have said. This is the most polite and best way to have your listener involve in a conversation. Avoid giving negative feedback, give constructive feedback as it leads to effective communication.

Be aware of Language, Tone & Content The language used in the message should be clear, simple and easily understandable. The tone & content of the message should not provide any harm to the sentiments of listener. The tone you use to convey the message must be appropriate. The contents of the message should be short & simple.

Clarify ideas before communication The message to be transferred should be clear, practical, accurate & without any ambiguity. You should be very clear about your objective and what you want to convey. There should be proper arrangement of words or thoughts in the message. Aimless talks can be misleading so you should always try to show that there is an aim or motive behind your talk.

Use of Organizational structure There should be a ideal span of control within the organization. Simpler the organizational structure, more effective will be the communication. The levels in the company should not be complex & should be optimum.

Proper Communication Channel The managers should properly select the medium of communication. Try to directly communicate with the person concerned. Simple messages should be conveyed orally through face to face interaction or meetings. Use of written means of communication should be encouraged for delivering complex messages.

Be a Good Listener As a receiver, listen the thoughts or message of sender very carefully & attentively. The biggest problem arises when the message is not listened carefully. Ask questions & clarification. Real communication takes place when the receiver hears the message and understands the intention of the speaker or sender.
