Entering information about Inspections

Inspection Type SmartSheet
This session will guide you through the process of filling out the Inspection Type Template within Smartsheets. This particular template serves the purpose of
gathering information regarding various inspection types essential for integration into your Municity system. The data inputted into this Smartsheet template will
subsequently generate dropdown choices for Inspections within Municity5.

Let's begin with the 'List Name of Inspections' column. Here, you'll input the names of all
the inspections conducted by your municipality. These names will appear in the
Inspection Type Dropdown within Municity, allowing users to select them when adding
inspections.

Displayed here is the Create Inspection screen from Municity 5. Highlighted is the
section where users select the Inspection Type they wish to create. These options
directly correspond to the names entered in the 'List Name of Inspections' column in the
Inspection Types SmartSheet.

Entering your Inspection Names in SmartSheets
Please take a moment to input the names of your Inspection Types on your Build Tracker in
Smartsheets.
To assist you in getting started, we've provided sample
Inspection Names highlighted in green within the
Inspection Types SmartSheet. Kindly enter your inspection
types' names below the samples.

Default Inspector
Next, let's examine the 'Default Inspector' column. Here, you'll input the name of an
inspector who should be automatically assigned to the corresponding inspection type. If
an inspection type is typically handled by various inspectors, you can leave this field blank
for that inspection type.

Once more, looking at the Create Inspection screen within Municity 5, you'll notice that
selecting an inspection without a default inspector is allowed. In this case, the inspection
will automatically be assigned to the Unassigned Inspector. This can be changed by
selecting an inspector from the Inspector Dropdown List.

Again, looking at the Create Inspection screen within Municity 5, you'll notice that
selecting an inspection with a default inspector automatically adds the default inspectors
name as the inspector for that inspection.

Entering Default Inspectors in SmartSheets
Please take a moment to input the Default Inspector Names on your Build Tracker in
Smartsheets.
For any inspection type that should consistently be
assigned to the same inspector, please input the name of
the inspector in the Default Inspector column next to that
inspection name.

Reinspection Duration
Now let's examine the ‘ReinspectionDuration' column. Some inspections
should reoccur at specific intervals. For example, a Fire Safety Inspection that
needs to be conducted every year.

When examining an inspection in Municity, you'll notice that this property has a 1 Year
Fire inspection scheduled for 2/20/2024. The status of this inspection is currently
pending.

Here, we've opened the inspection for a closer examination. The left image depicts the
inspection status as pending. In the image on the right, we observe that the inspection
has been completed and now reflects a status of passed.

Returning to the parcel inspections screen in Municity, we observe that the inspection
we have recently completed now displays 'Passed', and the system has automatically
generated a new inspection with a due date one year from the completion date of the
previous inspection.

Entering Reinspection Duration in SmartSheets
Please take a moment to input the names of your Reinspection Duration on your Build Tracker in
Smartsheets.
Now, for any inspection that should repeat at
regular intervals, please enter the number of
days, months, or years until the next
inspection is due.
PLEASE NOTE:
Each inspection type
can have only one
Reinspection
Duration. If you
require a Fire Safety 1
Year and 3 Year, they
must each be listed as
a named inspection.

DEPARTMENT
The final column to be completed in the Inspection Types
Smartsheet is the Department Column. Here you will list
all of the departments that should see the inspection type
in the dropdown menu of Municity.

Departments allow users to filter the Inspection Type dropdown menu in Municity. He we
see the Create Inspection wizard in Municity. By selecting a department in the first field,
the choices of Inspection Type in the next field will only display types associated with the
selected department.

DEPARTMENT
Enter the Department that each inspection type should be
associated with. Note, more than one department may be
associated with an inspection type.
When entering more than one department in a cell, press
the alt key and Enter to add the second department

The remaining cells are locked and will be
updated exclusively by your Project
Manager or Implementation Specialist.
These locked cells ensure consistency
and accuracy in data management,
allowing designated personnel to maintain
control over critical aspects of the project.
LOCKED CELLS

For any inquiries or assistance, you
can easily reach out to your Project
Manager or Implementation Specialist
using the Conversations button.
Simply open the Conversations
window in SmartSheetand include
'@ProjectManagersName' or
'@ImplementationSpecialistsName' in
the message body. As you type '@'
followed by the first letters of the
name, you'll see the names autofill for
quick tagging.
