Capex Paper based to Electronic Differences Features Still Open For Development On The Agenda Introduction As IT department working with the developer ,we would like to continue developing the capex application further as we have started already with the two internal and external capex gls . This will bring in these advantages (Minimized printing ,Less Time taken to complete an application) This system will enable electronic storage of all capex applications and reports .

3. CAPEX EXPENDITURE (CAPEX) PROCESS Paper Based Electronic Based The department/section must have sent a Wishlist stipulating the projects they are going to work on and budget. The Capex Wish-List will be available electronically for users to fill and send for approval Project Managers send out a capex application form to the administrator Project Manager can just apply for a capex on the system(this has already been implemented as per request by department External Capex Projects CWIP –(TEC,ADM,HO) Internal Capex Projects CWIP – (TEC,ADM,HO))

Paper Based Electronic Based Admin prints out each month a recon Admin will view recon report on the system(the system will calculate all transaction taken place for the month) Admin to print out all application for approval signatures Admin checks application, approve and send them to secondary approvers for approval Admin will be able to print all required information by auditors Admin will be able to view /send and print all required information by auditors As needed Costly – a lot of printing Cost effective Continuation of the Capex system

5. Features open for development The Paper Based forms , will be programmed with all information required with as specified in them into the Electronic system. Red Capex Green Capex Capex Wishlist Snag list Progress Report Practical Completion Certificate Variation on Capital Expenditure Application Progress certificate for payment Capex for SC and MIG Project Proposal No need for filling in the forms, All will be available on the Electronic system
