About This Presentation

As a team member in a group project we were able to curate a ceremony to increase the awareness of the communication arts end of the year ceremony among Georgia Southern Communication arts students.

Event Goal
Goal: The goal of this event is to celebrate the accomplishments
and successes of students and alumni within the Communication
Arts department at Georgia Southern University.

Objectives
●Objective 1: To increase awareness of the Communication Arts end-of-year ceremony
among Georgia Southern Communication Arts students by 25 people by May 1,
2025.
○Strategy: To educate students about the Communication Arts end-of-year ceremony.
■Tactics: Create engaging social media posts about the event on Facebook and Instagram.
Create and print flyers that include information about the event.
Email communication arts students with details of the event.
●Objective 2: To increase the attendance at the event by 10 people by May 1, 2025.
○Strategy: Create effective communication about the event.
■Tactics: Ask professors to offer extra credit for students who attend.
Make the communication arts end-of-year ceremony an Eagle Engage event.

Objectives Continued
●Objective 3: To increase the attendance of non-faculty alumni at the event by 3
alumni by May 1, 2025.
○Strategy: Create value for alumni in attendance.

Alumni guest speakers at the event
Designated meet and greet/networking time at the event.

o Event starts.
o Group members are at assigned positions managing flow of incoming guests.
o Designated time for mingling and networking.

o Five minute silent auction warning.

●6:00 - 6:05
o Usher guests into Black Box Theatre.
o Silent Auction closes.
o Welcome speech and introduction of guest speakers.

●6:10 - 6:30
o Guest speaker panel.

o Awards are handed out.

o Announce silent auction winners.
o Direct guests to fill out exit survey.

Lessons Learned
What we’d use again:
●Goal setting
●Timeline to remain on schedule.
●Job descriptions for people working on the event to remain on task.

What we’d do differently:
●Start sooner when asking for sponsors.
●More in-depth planning of food at the event.

Positives:
●Food sponsorships

●Having access to see previous years event book



Negatives:
●Not being able to order/purchase items ourselves.
●Having to go through one person to contact our client.
●Budget limitations

Words of Advice
●Discuss what items are available through the university at the
beginning of the semester so students can plan accordingly with
their budget.
●Be transparent about the process of ordering materials and set
potential deadlines for submitting those orders.
