Establishing the Safety and Health Committee (SHC) Inspection Team Team Composition: "The team comprises key personnel including Mr. Khuzamil , Safety Manager; Pn . Laila, Operations Manager; Mr Janegkan , Sr. Engineer, Mr Azraie Technician and several department representatives who bring diverse expertise to our safety inspections.“ Roles and Responsibilities: The chairperson leads the committee, the secretary maintains records and schedules inspections, and members conduct inspections and report findings.
Developing the Inspection Plan Objectives: Ensure a safe and healthy work environment by verifying the effectiveness of risk control measures and identifying potential hazards in the office. Scope: Inspections cover all areas of the office, including workstations, meeting rooms, common areas, kitchens, and restrooms.
Creating Inspection Checklists Customized Checklists : Checklists are tailored to different areas of the office, such as ergonomic workstation setup, fire safety, electrical safety, and general housekeeping. HIRARC Integration : Checklists include items related to previously identified hazards, such as tripping hazards, electrical cords, ergonomic issues, and compliance with fire safety regulations.
Training and Orientation Committee Training : Committee members undergo training on inspection procedures, checklist usage, hazard identification, and reporting protocols. Employee Awareness: All employees are informed about the inspection program through email, posters, and safety meetings, emphasizing the importance of their cooperation and participation.
Conducting Inspections Scheduled Inspections : Regular inspections are conducted monthly, with specific areas assigned for each session, such as different floors or departments. Unscheduled Inspections : Surprise inspections are conducted quarterly to ensure ongoing compliance and address immediate concerns. Documentation: Inspectors document findings using checklists, noting observed hazards, non-compliance issues, and recommendations for improvement.
Reporting and Analysis Inspection Reports: Comprehensive reports are compiled after each inspection, summarizing findings and recommending corrective actions. Trend Analysis: Reports are analyzed to identify recurring issues or emerging trends, guiding future inspection priorities and improvement initiatives.
Follow-Up Actions Corrective Actions: Action plans are developed to address identified hazards and non-compliance issues, with responsible individuals assigned to implement corrective measures. Verification: Follow-up inspections are scheduled to verify the effectiveness of corrective actions and ensure compliance with safety standards.
Review and Continuous Improvement Regular Meetings: The SHC meets monthly to review inspection reports, discuss findings, and update the inspection plan as necessary. Feedback Mechanism: Employees are encouraged to provide feedback on safety issues and suggest improvements through suggestion boxes or safety committees. Training Updates : Training programs are periodically reviewed and updated to incorporate new hazards, control measures, and regulatory changes.
