Lecture 02: INTEGRATED SYSTEM
SUITES
Integrated packages are low cost
programs that include word
processing, spreadsheets and
database management features
and some E-mail functions in
one software product e.g.
Microsoft works, Claris works,
and window works

An integrated package's usage of a single fundamental user
interface is one of its major benefits, in addition to cost.
All of its parts have a same command structure and menu
system.
The lackof many functionsincluded insteadof full-featured
productivity software application is one disadvantageof
integrated system suites.
Full-blownproductivity tools are programs created to simplify
workflow, make jobs easier to complete, and usually have
features that make it easy for users to access documents.
Cont.
The major software vendors offer suites that are full-blown
productivity tools as unit for a greatly reduced price in
comparison to purchasing each of the components separately,
e.g. MS office, lotus smart suite, Novell perfect office.
The suites will contain a word processor, a database, a
spreadsheet presentation tool and e-mail tool.
Cont.
Word Processing is a term used to describe the use of
hardware and Software to create, edit, view, format, store,
retrieve and print documents.
Besides enabling the user to create, edit and print text
material, this class of applications also is integrated with
support programs or features allowing the user to:-
Checking on spellings and grammar
Searching and replacing of the text strings
Displaying and printing of documents
2.1 WORD PROCESSING
APPLICATION
Saving, retrieving and deleting documents
Building of macros and indexing of documents
Creating table of contents, footnotes and endnotes
Entering and format of text, graphics and images
Importing and exporting of text, graphics and images
Comparing of words, phrases and meaning in thesaurus
Generation of new documents and pages in documents
Analyze and utilize the document outline or layout facilities
Preparation and mail merging of documents among others
Features allowing the user to
This is a numeric data analysis toolthat allows the making of
a computerized record.
It has Rowsand Columnswhich Accountants use for keeping
records for financial transactions and for preparing financial
statements.
The spreadsheet application is very popular as regards
manipulationof computabledata. It has features that enable
users to enter formulateas well as data to put on various
solutions to problems.
2.2 SPREADSHEET APPLICATION
Some of the common features supported, among others,
include:-
Cells, rows, columns and range of cells
Cell contents with facilities for labels, values, formulae, dates,
etc
Relative and absolute cell addresses for identifying data
items
Spreadsheet commands and graphics for manipulation of
data
Statistical functions e.g. Max, Min, Count, Sum, Mean, etc
2.2 SPREADSHEET APPLICATION
The application has a performance ability of using graphs to
present the information that facilitates management
reporting.
The specific features of these applications include the
financial formulae such as investment estimation, reduction
rate, interest payment per period etc. Tasks such as
budgeting, costing, references, estimates, final accounts,
Management accounts etccan be performed with using
accounting application.
2.3 ACCOUNTING APPLICATION
The importance of accounting applications includes the
following:-
Speed of performance –data entry into the computer with its
formatted Software screens and built in database of
customers and suppliers details and stock records can be
carried out far more quickly than any manual processing.
Automatic document production –in that there is fast and
accurate invoicing, credit notes, purchase orders, printing
statements and payroll documents are all done automatically.
The importance of accounting
applications
Current information –the accounting records are
automatically updated and so account balances will always be
up to date.
Availability of information –the data is rapidly available and
can be made available to different users in different locations
at the same time.
Management information –reports can be produced which
will help management monitor and control the business, e.g.
the old borrowers analysis will show which customer account
are be-lated, trial balance, trading and profit and loss account
and balance sheet.
The importance of accounting applications
Efficiency and effectiveness –in that better use is made of
resources and time; cash flow should improve through better
debt collection and inventory control.
Staff motivation –the system will require staff to be trained
to use new skills, which can make them feel more motivated.
It reduces frustration in that management can be on top of
their accounts and thus reduce stress levels associated with
what is not known.
The importance of accounting applications
Cost saving –computerized accounting programmers reduce
staff time doing accounts and reduce audit expenses as
records are neat, up-to-date and accurate.
Currency conversion –the ability to deal in multiple
currencies easily make computerized accounting packages to
allow for a business to trade in multiple currencies; since the
problems associated with exchange rate changes are
minimized
The importance of accounting applications
The Personal Digital Assistance (PDA) is package allow an
individual to use a small personalized computer for storing
and retrieving personal information, planning and managing
their schedules, contracts, finances and inventory of
important items.
The system is well-organized in organizing files that one has
created. It has features such as calendar, notebook, date list,
phone log, task list, agenda, expense log, index cards, disk
log and a global list. It functions like a personal organizer.
2.4 PERSONAL DIGITAL ASSISTANCE
The Presentation applications use software that combines
text and images in a series of slides.
These applications are more effective in driving the point
home especiallywhen compared to the presentation of the
same information in series of rowsand columns.
A presentation can be created including text charts,
organizational charts, graphs and other images. This enable
to use a computer system for creating, editing, viewing,
storing, retrieving, printing designs, drawings, pictures,
graphs and anything that can be drawn.
2.5 PRESENTATION GRAPHICS
The common features supported include, among others:
Drawing of various presentation designs
Paint drawing of diagrams and pictures
Presentation of graphs of quantitative data
Drag and drop of the objects in presentation manipulation
Import and export of various of objects together with the
screen capture
2.5 PRESENTATION GRAPHICS
The Desktop Publishing (DTP) applications are suitable in
photocompositionand phototypesetting. They accept data,
text and graphics in a variety of formats suitable for printing.
The DTPallows a user to create documents with multiple
font styles and special format.
They also allow the user to insert images from other files and
even draw or paint user defined illustrations.
DTPalso allows the user to use word processing applications
to enter the original text which can later be imported to the
DTP application.
2.6 DESKTOP PUBLISHING
They also allow the user to insert images from other files and
even draw or paint user defined illustrations.
DTPalso allows the user to use word processing applications
to enter the original text which can later be imported to the
DTP application.

The Multimedia systems are based on the technology of
combining text, graphics, images, videoand soundin a
presentation.
Thus different multimedia systems are designed with the
ability to present information in many forms such as data,
text, images, live or taped video and live or taped audio.
The Multimedia also permit the user to merge these
presentation typesinto a collection or a file of screens that
users can access in any order they choose. They are useful in
marketing and entertainment.
