Project Management
Challenges To take off for a large & prestigious requirement from a very simply worded, but very sound and extremely challenging brief to execute and establish. Select and choose methodically a site and the team with a clear focus of all stakeholders so that the vision of SEL management and Synefra the Project Managers were in total alignment. To create a space, which was not just an office, but an area which will personify the vision of its leader , the mission of the company and the core business of the group – Powering a greener tomorrow, today.
Integrated Stakeholders Management Users Owners Builders/ Contractors Manufacturers/ Suppliers Designers: Architects / Engineers Partners for sustainable development
Project Strategy & Management Direction / Approach Deliberation & decision of what, who, how & when of the project Project programming with respect to needs, stakeholders / partners and milestones Set a very focused and precise action plan Dedicated Project Management team formed to capture & imbibe the company requirement and prepare precise briefs for all designers
Project approach – Design briefs Development of Design brief : Project Architecture design brief Project Services design brief Project Interior Architecture design brief Project Communication design brief Help reduce input time for each stakeholder and help them deliver an output much superior than expected Reduced the otherwise high level of initial energy which gets drained in negotiating through the clutter & change in ideas Approval sought from SEL at various stages of data assimilation and preparation of brief for each discipline
Based on the requirements of the Design briefs, an appropriate team got established at various stages of the project as per expertise required: Strategic Synefra project team – Project owner, project manager, finance controller, site management team Developer – To build base infrastructure with services & landscape Architect – To conceive the building and develop design as per brief Construction contractor – For execution & construction of cold shell as per the design envelope Interior design build company – For effective justice to the cold shell and a functional yet classic interior architecture Communication designer – For a total space experience, memory points, branding and signage to enhance the architecture Design coordinator – For complete synergy between all designers and harmony of ideas during execution Formation of Project Task Force
Change Management - As Suzlon became larger, business plans grew and requirements changed significantly - From talking green to demonstrating green From a place to work to an inspiring place to work No. of people from 1500 to 2500 and their functional requirements Introduction of shared services – 24x7 operations Belief structure replaced by Values Technology advancement in operations, Information Technology, Audio-Visual, etc. This changed project parameters, scale and design criteria. Consistent focus, managing change, adaptation to circumstances and the flexibility of approach were the keys to stay on track. Change Management
Evolution of the program
Design Management
Design Selection – with criteria as to: What is it that we want to achieve through the design? What are the indicators which would help in the enabling objectives and how to recognize them? What is the message that we wish to convey through the design to all its stakeholders which would represent the client’s vision. To align all designers to the Client’s expectations, the project vision, objectives and deliverables was a phenomenal process and for which Synefra Strategic team became a key catalyst and an enabler . Design Management
Project management approach for design Started with Interactions with senior management, business vertical heads & HR team With Senior management – Values, business vertical structure, business needs, significance of facility in global business, future plans With Business Vertical heads – team function, hierarchy and nos., archiving requirement, special requirements like studios, library, control rooms, etc. With HR team – final nos., defining work areas as per team/group/position functions, allocation of space/floor/building to respective business units, and common facilities like cafeteria, gym, clinic, etc. as per Admin policies Along with company requirements, facilities for all kinds of users were mapped, established and considered in design which were approved and signed off for execution
Purpose Built to suit model Studying the design to match needs Achieve satisfaction first on paper Ensure design & technical aspects Efficient costs and effective design Action: Design drawings were screened with respect to: Result All requirements set forth in the brief document were achieved in the Design, including the brief of the Green Building Functional Requirements Vaastu Compliances Construction Technology Local Rules & Regulations Criteria for Green buildings Cost & Time implications All of the above were closely monitored & cross-checked by : Client 2. Developer 3. Architects Alignment of the Design Process

Comprehensive planning for construction created a wide path for the execution team taking a batten from design team. Key areas of construction management are mentioned below: People Management & the integration of knowledge & technology with project planning Fundamentals of Project planning were followed emphasizing “Plan, Organize, Lead and Monitor” Procurement process considering the aspects of QS, sustainable options, logistics, properties, impacts, cash flows, ABC analysis & life cycle costing. Execution with appropriate sequencing, time management , processes including ISO norms, EHS norms, quality checklists, execution checklists, etc. 50 Sustainable Approach for Construction
Quality control , checks, assessments & audits on predefined timeline throughout the project life cycle for improvement in all aspects Timely reviews and feedbacks through regular review meetings at site along with all key stakeholders Appropriate skill up-gradations & capacity building through trainings & appropriate inputs to the engineers and supervisors on site Labour welfare activities in co-ordination with CSR team, NGOs, etc. 51 Sustainable Approach for Construction
Site barricading to define boundaries & prevent damage to neighborhood. Excavation- Top Soil preservation / excess soil disposal / handling / reuse. Erosion & sedimentation control during construction- planning for drain lines below terminus level. Sprinkling water on roads at pre-decided frequencies to prevent pollution of the air . Spill prevention- Use of trays, etc. as per the need for DG sets / pumps & other equipments during handling of oil. Waste management during construction- segregation / storage / disposal of waste, etc. Water use minimization - use of sedimentation tank to reuse the water at central batching plant, use of curing compounds / covering the concrete surfaces by Hessian cloth / gunny bags as applicable to reduce the need of overall water requirement. 52 Environment Management Plan Implementation
It was a culture at One Earth construction site to consider all the stakeholders like family members irrespective to their economic class, gender and race. All the construction team members were treated with equal care and respect . The project team demonstrated a unique example of a care which any construction company can practice for their workers. Few of the initiatives taken at site are mentioned as under: Crèche & School facility during construction for the construction worker’s children with nutritious mid-day meal facility. Regular health checkups – Periodic blood tests for blood groups / hemoglobin / malaria etc. of all construction workers and their children. Onsite medical facility (Doctor & dispensary across the road) available 24x 7. 53 Concern for Construction Workers
Hygienic Sanitation facility on site with state of the art temporary toilets and their regular maintenance and management by a professional agency. Other services included daily housekeeping & garbage collection systems , provision of appropriate fire fighting facility, safe drinking water provisions, sufficient lighting, security etc. Improvement in conventional cooking methods - Training & facilitation to the workers for making the smokeless chullahs for cooking needs. Distribution of the same free of cost. Pure drinking water supply & sanitation facility at labour camp . 54 Concern for Construction Workers
