It should be clear and easy to understand. There should be gist of message in one reading. Better you have the reader’s picture , the better you can communicate.
Keep to the point: We try not to waste readers time. First to set down the aim. Ask yourself, why am I writing and what do I want to achieve. Also make an outline plan includes: Make a list of topic we need to cover. Under each topic list the keywords, examples, arguments and facts. Set the Right Tone: Use the tone that is friendly, yet efficient. Reader want to know that there is someone at the other end who notices and takes the interest in the concerns. Therefore, we need to observe a helpful and friendly tone, by maintaining a conversational approach throughout the letter.
Write effective openings: First thing to get the reader’s attention. to put the most important information first. The opening paragraph is both the headline and lead for the message that follows in the rest of the letter. Write effective conclusions: A closing paragraph should end the letter on a polite and business like note. Final paragraphs in business letters invites the reader to write again and meaningless phrases detract from the impact of the letter.
