Why Do We Invite People We invite people to celebrate special events and occasions. School functions, Annual day, Sports function Prize distribution, competitions etc. Personal functions like birthdays, wedding anniversary etc

Types of Invitations I nvitations can be classified into two broad categories : formal invitations informal invitations

When to send a formal invitation? A formal invitation is sent to people not always known personally and for formal occasions . Examples of formal invitation are: marriage ceremony , annual day , sports day etc

Types of formal invitation Formal invitation is written in two forms : card format & formal letters

Types Of Formal Invitation Card format is for everyone. For a special occasion a large number of people might be invited hence, an invitation card is given to each one of them Formal letters are written for special invitees; example: invitation to be the chief guest or to judge an event etc.

POINTS TO REMEMBER : . 1. Name of the host . 2. Formal expressions like, (a) ‘request the pleasure of your benign presence’ (b) ‘seek your auspicious presence’ (c) ‘solicit your gracious presence on the auspicious occasion’. 3. The date, time and venue of the event. 4. The purpose and occasion of invitation. 5. Third person and simple present tense are used. 6. Details like address, dress code or any other instruction are written at the bottom to the left or the right side as per choice or convenience. Subject matter is generally written in the centre . No abbreviation is used other than RSVP. Name of the Chief guest is written prominently In case of formal printed invitations, each of the following is written in a separate line and in different font sizes and styles Word limit:50 Marks:3

Summing up the rules of formal invit it is enclosed in a box it is a short composition and carries 4 marks the word limit is 50 words It is written in the third person the simple present tense is used the layout of the letter is in separate lines The whole matter should be centrally aligned the first line would have the name of the person or persons giving the invitation (HOSTS) the second line will have the standard expression :request the pleasure of the company, /Cordially inviting you/ solicit your benign presence the reason of the invitation is the third line then the time date and venue of the event i f VIP is to be invited that is at an official function; his name appears prominently no punctuation is required at the end of a line RSVP meaning please reply is inserted at the bottom left .Below the rsvp the name , then address/ contact no is written There is no countersignature

INFORMAL INVITATION POINTS TO REMEMBER : First person and second person are used. The sender’s address is written. The receiver’s address and subject are not written. The date of writing of the invitation is given. The salutation is ‘Dear + Name’. The complimentary close is ‘Yours sincerely’. Different tenses are used as the sense demands. The style or tone is relaxed and personalized.

REPLIES TO INVITATION Receiving an invitation is always pleasant. After all, it means that someone has remembered us and would appreciate our presence on an important occasion. Sometimes, however, not knowing how to respond to an invitation could get us into trouble. Maybe we do not know how to distinguish between an informal tone and a more formal, distant one . Or perhaps we do not know the most appropriate expressions of politeness required for the occasion. Maybe you have received an invitation to the wedding of a friend , or an invitation to a work convention. Whatever the occasion, whether you have decided to accept or reject the invitation, you will need to respond in the most appropriate manner.

FORMAL REPLY(NOTE KIND) First Line A formal invitation, such as for a conference or a wedding, requires a response that is formal and cordial at the same time. Salient Features EXPRESSING APPRECIATION OR GRATITUDE Whether you accept or decline the invitation , you first need to express your appreciation or gratitude for being invited. EXAMPLES Mr and Mrs Smith wish to express their deepest gratitude to Mr & Mrs Jones for extending their kind invitation on the occasion of (or kind invitation to their son’s ……. ) their son’s 2 nd birthday on (date) & (venue ) Or Mr and Mrs Smith sincerely thank Mr & Mrs Jones for inviting them on their (occasion ) on (date) at (venue )

FORMAL INVITATION NOTE KIND (second line) ACCEPTANCE They accept the invitation and wish to confirm their presence on the aforementioned day . They accept the invitation and would be their to bless the newly wed on the stipulated day REGRET However/ But due to certain prior engagement they/ he/ she would not be able to attend the programme. Or However/ But but to due to certain unavoidable circumstances they/ he/ she regret/s his inability to attend the programme Or However / But due to his/her present indisposition/illness she / he decline the invitation.

FORMAL INVITATION (NOTE KIND) THIRD LINE (OPTIONAL) Generally in case of regret: He wishes the newly wed a very happy and prosperous married life. Or H e wishes xyz a very happy birthday . Or He wishes the programme all the success

FORMAL REPLY (NOTE KIND) SUMMING UP Should be written in a box Should be written in 50 words Can be an acceptance or a decline Should be written in third person There should be no address; date is optional No complimentary close and no signature at the end In both acceptance and decline, first acknowledge the invitation . First line should be expressing thanks to the host for his kind invitation Mention the occasion ,date ,and venue also in the reply Mention acceptance/regret If it is acceptance, then confirm your presence If it is decline ,then mention your inability to attend by specifying a reason

They however deeply regret their inability to accept the invitation due to a prior engagement. They wish the new couple a happy and prosperous married life.

Respond to the invitation.

INFORMAL REPLY What about an invitation to a friend’s party or to a reunion with some people that you have not seen in a few years? In this case as well, a response expected which, although less formal, should be no less courteous or heartfelt. Here are some examples: I am pleased to accept your invitation.
