University Handbook: Uni Life & System in India
Choosing the Right University
Selecting a university is the first and most crucial step for your future. Don’t decide just by the
name—consider these factors:
1. NIRF Ranking
o National Institutional Ranking Framework (NIRF) ranks universities based on
teaching, research, placements, and facilities.
o Higher rank → better reputation and placement opportunities.
2. NAAC Accreditation
o National Assessment and Accreditation Council (NAAC) grades universities (A++, A+,
B+, etc.) based on quality.
o Higher grade → higher quality of education.
3. UGC Approval
o Ensure the university is UGC-approved . Without this, degrees may not be valid.
(University Grants Commission's)
4. Campus & Facilities
o Visit the campus: check library, labs, hostel, hygiene, environment.
o Facilities influence your 3–4 years of experience.
5. Placement Record
o Check the university’s placement history. Real success is reflected here.
6. Alumni Network
o Strong alumni with good careers indicate a strong university.
7. Faculty & Courses
o Review syllabus and faculty list—this helps you know what and from whom you will
learn.
Key takeaway: Choosing a university is investing 3–4 years of your life, not just selecting a college.

1. Pre-Admission Preparation
Before applying, make sure you are fully prepared:
• Entrance Exams / Eligibility Criteria
o Check if your desired course requires entrance tests or specific qualifications.
• Scholarships & Financial Aid Options
o Research scholarships, grants, and financial aid opportunities.

• Required Documents Checklist
o Mark sheets, certificates, ID proof, photographs, and any other documents needed
for admission.

2. Admission & Orientation
1. Admission Process
o Document verification, ID card issuance, and hostel allotment (if applicable).
2. Orientation / Induction Day
o First official day introduces teachers, Dean, Principal.
o Campus tour and university rules are explained.
o Some universities call it Freshers’ Welcome.
Provisional Letter: A temporary admission document issued by the university confirming your
enrollment until the official ID card or permanent documents are issued.

3. Digital University System
Modern universities use digital systems to simplify student life:
• Student Portal / DigiiCampus App allows:
o Attendance check
o Fee payment
o Class schedule & syllabus access
o Notes, PPTs, assignments download
Physical books are often not required—everything is accessible digitally.
Regularly check portal for attendance, marks, assignments

4. Smart Entry & Campus Technology
• University gates have digital entry systems, similar to metro smart cards.
• Students can swipe their ID or use face scan for secure and efficient campus access.

5. Campus Life & Experience
University campus is like a small city:
1. Facilities & Transport
o Cafés, restaurants, and juice bars on campus.

o Golf carts help students and faculty move within campus.
2. Hostels & Accommodation
o Modern hostels with mess, laundry, gym, sports ground and common rooms.
o Students living outside campus are Day Scholars, who rent nearby accommodation
and commute daily.

6. Academic Structure (Hierarchy)
Position Role
Chancellor Ceremonial head (usually governor)
Vice-Chancellor (VC) Main head, handles academic & administrative decisions
Pro-Vice Chancellor / Registrar Assists VC, manages records & administration
Dean Head of each faculty (Science, Commerce, Management, Law, etc.)
Head of Department (HOD) Leads specific department
Professors / Lecturers Teaching and mentoring
Students Council Represents students, organizes events, ensures welfare

Examination & Evaluation Office: Responsible for marks, transcripts, and internal evaluation—
common in Indian universities.

7. Faculties & Departments
Universities have multiple faculties, each with various departments:
• Commerce & Business
• Engineering
• Arts & Humanities
• Law
Mentorship Program: Each department assigns one Mentor per semester to guide students
academically, personally, and for career advice. Regular contact with the mentor helps with projects,
internships, and navigating university life.

8. Academics & Exams
• Each semester includes: lectures, practicals, assignments, viva, and internal exams.

• Exams: Mid-term and final semester exams.
• CGPA / Grades: Shows overall academic performance; includes internal marks, mid-term,
final exams, and attendance. (Cumulative Grade Point Average)
• Some courses include industrial training / internships.

9. Cultural & Co-Curricular Life
• Freshers’ Party: Welcome new students
• Annual Function / Cultural Fest: Dance, music, drama, celebrity nights
• Sports Week: Competitions in games and sports
• Workshops & Seminars: Skill development sessions
• Clubs & Societies: Debate club, music club, etc.

10. Final Year & Convocation
• Farewell Party: Seniors are bid goodbye, memories are shared.

• Placement Cell: Facilitates student jobs after graduation.
• Alumni Network: Former students participate in events and stay connected with university.
Key point: Strong alumni connections can help in networking and career growth.

When you are about to graduate or leave the university, there are several documents and
clearances you usually need to complete the formalities. These ensure your degree is valid and you
have no pending dues or obligations.

13. Rules, Attendance & Safety Systems
Indian universities have strict attendance, discipline, and safety regulations to ensure smooth
functioning and student welfare.

1. Attendance System
• Most universities follow a minimum attendance requirement, usually 75% per semester.
• Less than 75% attendance may lead to:
o Denial of exams / Debarred
o Fine / Penalty
o Re-registration requirement for that semester
2. Discipline & Anti-Ragging Measures
• Ragging or any illegal / anti-social activity is strictly prohibited.
• Universities have dedicated Anti-Ragging Cells / Committees.
• Students can report incidents through:
o University helpline / department
o National Anti-Ragging Helpline (Govt. number provided by university)
• Strict actions include fines, suspension, or expulsion depending on severity.
3. Student Support & Help Departments
• Grievance / Help Desk: Students can approach for complaints, counselling, or academic
issues.
• Counselling / Mental Health Support: Available for stress management or personal issues.
• Security / Emergency Helplines: Universities provide helpline numbers for emergencies on
campus.
Tip: Always keep university helpline numbers and anti-ragging contacts handy. These are part of your
student safety network.
